Job Description Results-driven Church Business Administrator (CBA) with over five years of experience in managing operations, finances, and strategic planning for faith-based organizations. In partnership with the Bethlehem Baptist Church (BBC) Trustee Board, the CBA will lead the church in planning, developing, executing, and evaluating a comprehensive business operations strategy. This role requires a high degree of integrity, strategic vision, and leadership in financial and operational matters. The CBA will have direct oversight and collaborate with the Trustee Board to deliver collective decisions regarding BBC’s finances, employees, facilities, logistics, maintenance, repairs, vendor contracts, compliance policies, and construction projects and services, food service, and computer operations. Within six months in the position, the CBA, in collaboration with the Trustee Board, will develop and present to the Pastor and Joint Ministry a five-year strategic plan with corresponding policies that provide a framework to ensure the church will obtain and sustain sound financial stewardship. The CBA must ensure this plan aligns with BBC’s long term mission and vision while incorporating financial sustainability, operational efficiency, and risk management best practices. PROFESSIONAL EXPERIENCE/SKILLS: • In-depth knowledge and understanding of church operations and administration., • Develop, coordinate, and implement annual budgets with the Trustees and Finance Committee to ensure all financial activities align with BBC’s goals and objectives prior to submitting them to the Joint Ministry for approval. Ability to assess financial trends and recommend adjustments to optimize fiscal responsibility., • Manage the cash flow of the church. Oversee financial planning and forecasting to support church initiatives and long-term projects. Responsibilities include authority to establish credit and collections, purchasing policies, and schedules for the payment of bills and financial obligations., • Oversee the preparation of monthly financial statements and review them with the Trustees and Finance Committee to ensure accountability of all expenditures., • Manage all accounting functions, including accounts payable and receivable, payroll, capital expenditures, building fund maintenance, cash management, loans, audits, and internal accounting controls. Ensure compliance with financial reporting standards and internal control procedures., • Serve as the church’s purchasing agent. Negotiate vendor contracts and ensure cost- effectiveness while maintaining quality standards., • Develop recommendations for appropriate committees and ministry teams on financial matters and implement financial procedures in accordance with policies approved by the Trustee and Finance Committee., • Conduct an annual review and update all policies and prepare new policies, as needed, which encompass Generally Accepted Accounting Principles (GAAP) and internal accounting controls for the operation and administration of the business affairs of the church. Implement financial best practices to mitigate risk and improve operational efficiency., • Work with the Internal Audit Committee to plan and assist external auditors in performing their annual year-end audit., • Strong understanding of nonprofit financial and accounting principles. Familiarity with 501(c)(3) compliance., • Proficient in church management software. Experience in implementing and optimizing financial and membership management systems., • Ability to think strategically and make data-driven decisions., • Excellent verbal and written communication skills. Ability to present financial and operational updates to church leadership and congregants effectively., • Detail-oriented, organized, and flexible. Strong problem-solving abilities and a proactive approach to addressing challenges., • Supervise paid staff and prepare appropriate employee appraisals within 90 days of assuming supervisory responsibilities in accordance with BBC’s Personnel Policies and Procedures Manual. Develop and implement a structured performance evaluation system to foster professional growth., • Supervise maintenance personnel, food service operations, contract service personnel, and media library operations. Ensure alignment with church values and operational goals., • Supervise the data processing functions of the church., • Maintain all personnel files in accordance with BBC’s church policy as well as federal, state, and local laws. Ensure proper documentation for tax reporting and employment regulations., • Administer the employee benefit program in accordance with BBC’s Personnel Policies and Procedures., • Assist ministry staff and other ministries (volunteers) in balancing the clerical workload., • Lead and mentor staff to foster a collaborative work environment, providing guidance, performance reviews, and professional development. Encourage a culture of servant leadership., • Oversee and direct church facilities, including maintenance programs for offsite properties, logistics, event coordination for services, retreats, and special events. Establish a maintenance and housekeeping schedule for the church. Ensure facility operations align with sustainability and cost-saving initiatives., • Responsible for safety, security, and new construction of the church buildings and grounds. Includes compliance with fire and safety codes, parking, and traffic flow. Develop risk management strategies for emergency preparedness and crisis response., • Oversee performance of all trade contractors and review architectural and engineering drawings to ensure all specifications and regulations are being followed., • In partnership with the Trustee Board, perform a minimum of quarterly evaluations of the church’s insurance needs. Ensure adequate coverage for liabilities, property, and employee benefits., • Develop and maintain an inventory of all church property and equipment and establish a digital asset tracking system to ensure proper tracking and accountability., • The CBA will report directly to the Pastor, who is responsible for developing, reviewing, and documenting the CBA performance plan and objectives within 90 days of supervision., • The Pastor will ensure the CBA is clear regarding duties and responsibilities for each annual performance cycle. Regular check-ins and progress reports will be implemented for ongoing alignment., • Ensure compliance with all legal, financial, and tax regulations, including IRS guidelines, nonprofit requirements, and applicable regulations., • In partnership with the Trustee Board and church attorney, coordinate, research, and evaluate financial commitments and contracts to ensure compliance prior to entering into contract agreements. Ensure a thorough vetting process for vendor and service agreements., • Partner with the Nominating Committee to ensure each committee and ministry team is properly organized and functioning. Work with the HR Committee to prepare position descriptions for each committee and ministry leader., • Graduate of a four-year degree program in Business Administration. A master’s degree in Business Administration, Finance, or Church Administration is preferred., • Certified Church Administrator, • Nonprofit Financial Management Certificate WORKING ENVIRONMENT: The primary work location is the BBC. The work environment involves the normal risks and discomforts typical of an office setting. May be required to lift 25-50 lbs. from time to time. Following his retirement, the Senior Pastor position is currently vacant, and a Pastor Search Committee has been duly activated. Presently, the Reverend Dr. Dylon T. Young serves as Interim Pastor. BBC has an approved staff of twelve positions, including office administration, finance, communications, and musicians. Several approved staff positions are presently outsourced through term service agreements while the church awaits a new Senior Pastor. BBC’s membership draws from across the District of Columbia, Maryland, and Virginia (the DMV area). While culturally diverse, the congregation is predominantly African American. BBC is committed to nurturing spiritual growth among seekers and disciples who desire to deepen their walk with God. BBC holds one worship service each Sunday, with an average weekly in-person attendance of 200–250 individuals. The service can also be attended virtually. Ministry at BBC is organized through a five-fold structure: Christian Education, Missions, Evangelism, Stewardship, and Worship and Fine Arts. The Health and Support Ministries are additional supporting ministries. All ministries are led by a designated director and supported by various auxiliary ministries.
