Compensation is based on the total number of years of experience in previous clinical roles. In this role, you'll manage Volunteers and the Volunteer program for all Stillwater Hospice locations. You will work 40 hours each week. FLSA STATUS: NON-EXEMPT REPORTS TO: Volunteer Coordinator POSITION OBJECTIVE: The Volunteer Department Administrative Assistant will coordinate and direct all agency volunteers to ensure the delivery of quality services to all patients and families. The Volunteer Department Administrative Assistant is an integral part of the hospice team, helping to make a positive impact on the end-of-life experience for our patients and families. QUALIFICATIONS: • High School Education Required., • Minimum of two (2) years of experience in Customer Service or administrative duties. Healthcare or hospice experience is a plus., • Must feel a connection to Stillwater Hospice’s mission and services., • Must be comfortable with direct patient and family interactions., • Must have strong interpersonal qualities and the ability to establish rapport with a wide variety of individuals., • Excellent written and oral communication skills; ability to influence and engage a wide range of people and build long-term relationships., • Must have strong computer skills with Microsoft Office, Adobe, and patient EMR systems, along with excellent phone and email etiquette., • Must have a flexible, adaptable style and be able to multitask, schedule, and train., • Must be at ease meeting people and comfortable with public speaking., • Must maintain a high level of confidentiality., • Must handle volunteer situations in a diplomatic and tactful manner., • Must be able to safely perform the essential functions of the job without posing a direct threat to the health and/or safety of self or others in the workplace., • Must have an Indiana motor vehicle operator’s license and access to an automobile with current automobile insurance coverage., • Must be able to drive independently to all volunteers’ and/or patient/family clients’ homes and work off-site at other Stillwater Hospice locations. ESSENTIAL FUNCTIONS: • Supports and collaborates with the Volunteer Coordinator to meet agency needs and implement Stillwater Hospice’s core values., • Coordinates the Stillwater Hospice volunteer program, including one-on-one volunteers, hospice home volunteers, special project volunteers, bereavement volunteers, and administrative volunteers., • Manages volunteer services with accountable oversight of volunteer utilization, documentation, and plan of care involvement., • Serves as the main point of contact and communication with all volunteers, keeping them informed and engaged in volunteer opportunities., • Serves as a liaison between volunteers and the IDG to ensure volunteers are informed of the plan of care and other information, and to relay volunteer observations and concerns to the IDG., • Assigns and schedules volunteers in collaboration with the interdisciplinary group to fulfill patient and staff needs., • Visits patients and families, as appropriate, to explain the volunteer role, assess needs, and offer support to volunteers., • Initiates and maintains ongoing recruitment, recognition, and retention of volunteers., • Backfills any volunteer or agency position when needed., • Identifies new opportunities for volunteers and partners with the Volunteer Coordinator to expand volunteer opportunities., • Assists the Volunteer Coordinator in maintaining the volunteer information database, updating information as needed, and collecting data for performance improvement., • Assists in facilitating volunteer events, training, and meetings, including volunteer recognition awards., • Monitors volunteer reports and brings urgent items to the attention of the appropriate supervisor., • Creates and maintains human resource and medical files for all volunteers. Assists in maintaining all levels of ongoing compliance for active volunteers., • Displays compassion, works as a team player, has an optimistic outlook, is adaptable, accountable, and customer-driven., • Manages the annual volunteer budget and cost savings., • Performs appropriate public speaking within the community for purposes of hospice education and volunteer recruitment., • Assumes responsibility for continued personal and professional growth and development., • Ensures the company meets Medicare’s minimum of 5% volunteer hours., • Administers annual evaluations to Hospice Volunteers., • Supports as backup to the receptionist and assists with answering the main phone system as needed., • Performs any other duties assigned by the supervisor, within the level of expertise., • Adheres to all Agency policies., • Adheres to Stillwater Hospice privacy practices as described in the Notice of Privacy Practices., • When requested, participates in quality improvement activities and/or other agency committees or task forces. ESSENTIAL PHYSICAL/MENTAL FUNCTIONS: • Must have the visual, hearing, and mental ability to initiate and comprehend written and verbal communication., • Must be able to engage in clear, concise verbal and nonverbal communication., • Must be able to perform tasks involving physical activity, such as lifting (e.g., boxes of computer paper and bound reports), extensive bending and standing, reaching, handling objects, fingering, and color discrimination., • Must be able to climb a minimum of three (3) flights of stairs., • Must be able to endure long periods of sitting, standing, and walking., • Ability to remain calm in occasional emergency situations. ESSENTIAL HAZARDOUS PHYSICAL EXPOSURES: • Must be willing to travel in inclement weather., • Potential threat of physical violence to self (security personnel available upon request)., • Potential exposure to variable temperatures in the work environment., • Potential exposure to environmental pollutants., • Potential exposure to dangerous animals, such as dogs and rodents., • Potential exposure to infectious diseases. CHEMICAL OR HAZARDOUS PHYSICAL EXPOSURES: • Potential exposure to substances in an office environment, including copy machine toner, VDT emissions, and cleaning solvents. ESSENTIAL PERSONAL PROTECTIVE EQUIPMENT REQUIRED: • According to state law, seat belts must be worn at all times while traveling during working hours. The published compensation range for this position reflects a good-faith estimate of starting base pay for full-time (40 hours per week) employment at the time of posting. The base pay may be higher or lower based on demonstrated job-related experience.
