Job Description Pittsburgh Zoo & Aquarium Position Description Position Title: Project Coordinator, Maintenance and Construction Department: Planning, Design, and Construction Reports To: Vice President of Planning, Design, & Construction FLSA Status: Exempt Purpose: The Maintenance and Construction Project Coordinator will be responsible for assisting in administrative aspects of planning, organizing, and execution of maintenance projects, campus improvement projects, and new construction. This includes coordinating efforts related to buildings, exhibits, equipment, and vehicle maintenance, as well as infrastructure and construction projects. The Project Coordinator will serve as a liaison between colleagues, vendors, and contractors for the Pittsburgh Zoo and Aquarium (Zoo) and will work in tandem with the VP of Planning, Design, & Construction to support the Zoo’s initiatives and strategic goals. Essential Job Functions: • Manage the administration of the Zoo-wide work order system, including entering work order requests and related reporting., • Organize vendor and stakeholder meetings; ensure open lines of communication, including documenting and following up on action items., • Ensures that project documentation (estimates, contracts, drawings, etc.) is properly filed in electronic project folders., • Work with Accounts Payable to establish vendors in the system by completing all paperwork and obtaining current certificates of insurance for all active vendors being utilized by the department, • Enter purchase orders and work orders into the Zoo’s internal systems., • Prepare necessary documentation for project meetings and presentations., • Work with the Director of Facilities to monitor preventive maintenance plans of the facilities and grounds to include buildings, exhibits, equipment, mechanical and electrical systems, and vehicles., • Assist in contract and proposal administration., • Maintain and monitor project plans, project schedules, and expenditures when necessary., • Ensure that annual Maintenance, Grounds and Horticulture needs are documented and assist in identifying tasks, budget impacts and labor requirements., • Help maintain a reliable network of outside vendors and suppliers to ensure cost-effective and timely support of the Maintenance, Horticulture, and Groundskeeping functions., • Assist in obtaining multiple quotes and cost-effective pricing for goods and services., • Work with Zoo stakeholders to ensure work does not negatively impact guest or animal experiences., • Assist in clarifying and enforcing contractor guidelines for all outside contractors., • Work closely with VP of Planning, Design, & Construction to ensure that projects run smoothly and any issues are addressed immediately., • In coordination with the department heads, review all vendor invoices for correctness and accuracy before remitting and approved for payment to Finance, • Assist in maintaining the department budgets and prepare monthly expense reports for reimbursement and for the purchasing card(s)., • Assure compliance with established safety regulations and precautions by all Maintenance, Grounds, and Horticulture staff; coordinate effective orientation and training to minimize accidents and injuries., • be able to act autonomously on behalf of the Pittsburgh Z&A and be accountable for outcomes, • be good at problem-solving, coordinating with multiple stakeholders, and ensuring timelines are met, • focus on outcomes and not tracking minutes worked, • attend occasional meetings outside of the typical 9-5 hour workday due to projects engaging with zoo-specialty consultants who work across the country in different time zones, • Champion work procedures, standards and safety practices as needed., • Work closely with Zoo leadership and management to build relationships between teams on collaborative projects as needed., • Performs all other duties as assigned and directed. Provides excellent customer service in the areas of guest relations and park beautification: • Answers visitor inquiries or finds someone who can, • Is knowledgeable of location of exhibits, restrooms, concessions, rentals, etc., • Disposes of litter and waste throughout the park and zoo facilities. Proficiency/Knowledge of: • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); Microsoft Project experience strongly preferred., • Understanding how to use systems like SharePoint or Google Drive, • Knowledge of file formats and conversion; understanding different document formats (e.g., PDF, JPG) and the ability to convert as needed, • Version control: Managing and tracking different versions of documents to ensure everyone is working with the most current information., • Familiarity with:, • Principles and practices of facility maintenance and groundskeeping including plumbing, electrical, mechanical, carpentry, and landscaping maintenance., • Construction blueprints, operation plans, and standard operating procedures., • Common materials, tools and equipment used in building maintenance, horticulture, and grounds keeping., • Industry safety standards Skills Competencies: • Motivated self-starter with the ability to work independently with purpose and accuracy as well as collaboratively in a group setting, • Ability to develop and maintain effective working relationships, • Strong organizational, multi-tasking and communication skills, • Attention to detail; accuracy is vital when scanning, indexing, and filing documents, ensuring information is correct and readily accessible., • Ability to act with integrity, and to exercise sound independent judgement within the Zoo policy guidelines. Physical Requirements: • This position involves both administrative office duties and active presence throughout Zoo grounds when assisting with projects., • Work is done primarily in an office setting but also requires periodic outdoor exposure., • Must be able to lift, carry, push and pull up to 40 lbs. Qualifications and Experience: • An associate or bachelor’s degree in a related field; certification in project or facilities management is preferred., • May consider an equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and ability for the job., • Must be willing to work occasional after-hour assignments and in all weather conditions, • Must possess a valid driver’s license
