Summary Works-in-Progress Associates (WPA) is seeking a Transcriptionist to become an integral part of our team! This position will work with the School Construction Authority (SCA) on the Contingent Staffing contract. The Transcriptionist position serves as a key administrative resource, providing comprehensive clerical and organizational support to first-level management and senior clerical staff, ensuring smooth day-to-day operations. Minimum Requirements: • High school diploma or equivalent required., • Must possess a minimum of two years of full-time clerical, accounting, reproduction or administrative experience., • English proficiency, both verbally and written skills, • Must possess a valid driver's license., • Must be computer literate, highly detail-oriented, and an attentive listener, with the demonstrated ability to capture accurate and thorough notes in a fast-paced environment., • Must consistently maintain a professional demeanor and appearance in all work settings., • A background or prior experience in construction is strongly desired and considered a significant advantage., • Demonstrated proficiency with all applicable software packages including but not limited to MS Windows; MS Office (including Project, Word, Excel, Outlook, and PowerPoint), and Adobe Acrobat. Responsibilities include, but are not limited to: • The Secretary (Transcriptionist) will be assigned to a Construction Management (CM) Borough and will attend job progress meetings for all in-house projects., • The candidate will be responsible for recording, preparing, and distributing meeting minutes for each job progress meeting, as well as entering all minutes accurately into the CM13 and Kahua systems and maintaining a comprehensive record of all entered information., • The candidate will be required to travel between job sites a minimum of 2–3 times per week as needed, while reporting directly to Headquarters. Skills: • Ability to build and strengthen long-lasting client relationships by providing reliable service and project solutions., • Ability to communicate clearly and effectively with all management levels., • Must have excellent interpersonal, oral, and written communication skills., • Must have strong organizational and time management skills., • Must be able to adapt and prioritize, meeting deadlines, in a fast-paced environment., • Operate with a sense of urgency, quickly responding to clients., • Demonstrated leadership, responsiveness, and accountability., • Detail oriented with strong analytical skills., • Proactive and take initiative. We have been in business for over 30 years and have completed well over 500 projects. We currently have somewhere between 50-60 employees. Because we are a woman-owned firm we are on contracts with larger Construction Management firms such as LiRo, Hill International, Jacobs, Tectonic, Gilbane, etc. and we help them to meet their WBE goals. We provide Project Managers, Inspectors, Estimators, Office Engineers and so on. Currently we are on about 10-15 different contracts.
