Job Description Title: Associate Director Location: Bronzeville, Chicago, IL Schedule: There are two positions available. The scheduled shifts are 8:00am–4:30pm and 4:00pm–12:30am. BCBS PPO, EPO, and HSA Plans, • Dental insurance., • Vision insurance., • 401(k) 3% Employer Contribution., • Paid maternity leave., • Paid paternity leave., • Commuter benefits., • Professional Development Assistance., • Disability insurance, • FSA Spending Account, • Life Insurance, • Employee Assistance Program Duties & Responsibilities • Delegates work assignments to administrative staff in accord with established policies/procedures and oversees the performance and implementation of those assignments., • Develops, implements and monitors appropriate procedures for administrative efficiency, and ensures quality in their execution., • Participates in budgeting activities to include annual planning and revising and oversight of expenditures throughout the year., • Serves as one of the primary approvers for expenditures within the program and acts on behalf of the Program Director when reviewing and approving expenditures., • Partners with the central finance department on financial matters, representing the program and serving as a point of contact for the finance department., • Audits and analyzes information related to key operational functions such as inventory, petty cash management and spending down budgets, identifies trends and prepares regular reports., • Manages division’s stock of inventory and inventory database including ensuring accuracy of data, governing distribution, reordering stock in a timely manner, and generating regular reports., • Provides in-service training on key operational functions for managers and direct service staff as necessary., • Accompanies and assists the Program Director at meetings and on travel, and as otherwise required., • Assists the senior leadership team as needed., • Serves as a point person for contractors and other third parties in the areas of purchasing and maintenance, among others., • Participates in interviewing, hiring, discipline, termination and other relevant employment transactions., • Prepares performance evaluations for assigned staff., • Provides training to assigned staff in appropriate facets of the position and conducts training sessions, as requested., • Ensures the implementation of organization, division and program policies and procedures., • Participates in meetings and other meetings, as required., • Initiates requests for regular supervision and interim evaluation and goal setting., • Participates in the development of long-range plans, service delivery model and other significant strategies and/or systems., • Assumes responsibility for the accuracy, substance and timeliness of reports, projects, schedules and other relevant work products., • Sets goals and deadlines for the administrative department., • Coordinates resolution of basic physical plant and/or equipment issues., • Maintains an appropriate professional demeanor toward co-workers, visitors, clients, supervisors and all others., • Assumes an appropriate role in other program tasks or projects., • Responds to on-call crisis situations 24 hours a day/7 days a week and is responsible for carrying an agency-issued communication device/smart phone., • Adheres to professional standards as outlined by Heartland Alliance, and other appropriate professional associations, and private funding sources., • Assists in the development of organizational plans/policies related to professional standards and initiates requests for assistance or guidance from the senior leadership team to address new issues or complex concepts affecting adherence to professional standards., • Bachelor's degree from an accredited institution of higher learning required., • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner., • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability., • Demonstrated ability to influence, lead and manage projects in a heavily matrixed environment., • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders., • Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Alliance., • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form., • Ability to work independently and remain self-motivated with minimal direct supervision., • Strategic thought partnership and consultancy skills. This role is not eligible for remote work. All hours will be worked in person. This position has an active presence at all assigned programs on a rotating basis.
