Residential Property & Development Coordinator (Portfolio & Operations) Location: Cheltenham Job Type: Full-Time We are a fast-moving property investment and residential development business supporting multiple planning and development projects, alongside the active management of a large residential rental portfolio. This role works closely with the Executive Assistant and Director, supporting administration across residential planning applications, property development, construction, and day-to-day portfolio management. This is not a traditional corporate office role. The position is based in a small working office within the Director’s home in Cheltenham and requires someone who is organised, practical, calm under pressure, and able to work independently. We are open to flexible working arrangements, including part-time roles or a job share for the right candidates. The position may also be structured across two individuals depending on experience and availability. The Role This is a varied position combining: • Executive administration support, • Property development coordination, • Hands-on involvement in managing a residential rental portfolio (400+ units) You will help keep projects, communications, and documentation organised while supporting the Executive Assistant and Director across multiple operational and administrative areas. Key Responsibilities • Support the Executive Assistant and Director with day-to-day administration and organisation, • Manage emails, draft correspondence, and respond professionally where appropriate, • Coordinate documentation for residential planning and development projects, • Maintain structured digital filing systems for property records and development projects, • Prepare and update Excel spreadsheets for tracking and administration, • Coordinate communication between consultants, planners, and contractors, • Track tasks, deadlines, and follow-ups across multiple projects, • Prepare documents, reports, and project updates, • Assist with diary management, meetings, and appointments, • Support travel arrangements and bookings, • Assist with occasional personal administrative tasks, • Ensure all property and project information is organised and up to date, • Support smooth day-to-day office operations Property Management Responsibilities • Assist in the management of a residential rental portfolio (400+ units), • Support oversight of the portfolio alongside the Executive Assistant, • Liaise with letting agents regarding tenancies, renewals, and compliance, • Coordinate maintenance works and track completion, • Monitor property compliance (Gas, EPC, EICR, licensing, etc.), • Assist with tenancy documentation and record keeping, • Track rent, arrears, and service charge matters with the accounts team, • Support issue resolution between tenants, agents, and contractors, • Maintain accurate digital property and tenancy records Working Environment This role is based in a small office within the Director’s home in Cheltenham. We operate as a collaborative team where everyone contributes to maintaining a professional and organised workspace. This includes: Keeping the workspace tidy Managing kitchen items used during the day Assisting with basic office housekeeping (bins, recycling, etc.) This position suits someone who is practical, organised, and comfortable working in a smaller team environment. About You Calm and organised under pressure Comfortable managing large volumes of information Confident using Outlook, SharePoint, and Excel Able to prioritise tasks independently Comfortable working with direct instruction from senior staff Practical, reliable, and proactive Desirable experience: Residential property management, lettings, or block management Property administration, estate agency, construction, or planning environments Salary £30,000 – £35,000 (depending on experience) Working Pattern We offer flexibility and can accommodate: Part-time applicants School hours Job share arrangements Some overlap with core working hours will be required.
