Role Overview We are seeking a highly organised Executive Assistant to provide strategic and practical support to the Executive Director (ED). In addition to managing day-to-day administrative responsibilities, this role requires research, analysis and critical thinking abilities to ensure the efficient management of the ED’s strategic and operational responsibilities. As part of a small team, the individual will be expected to support other operational areas, where necessary. The individual will be resourceful, proactive, and capable of handling sensitive information while producing accurate, insightful research. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities effectively. Job Title: Executive Assistant Reports to: Executive Director Hours: 35 hours per week (full time) with a minimum of 4 days in the office Salary: £36,000-£42,000 (depending on experience) plus benefits (25 days holiday, contributory pension) Location: 1 Buckingham Place, London SW1E 6HR Start Date: January 2026 Key Responsibilities The main duties to be carried out by the post-holder include: Executive support • Manage and coordinate the ED’s calendars, appointments, meetings, travel arrangements, expenses and filing, liaising with relevant individuals and organisations., • Prepare agendas, distribute briefing packs and necessary papers, and track action items for ED’s meetings., • Minute taking at meetings, producing documentation in a timely manner., • Draft, edit, and proof-read correspondence, presentations and reports., • Handle confidential information with discretion and professionalism at all times., • Act as a liaison between the ED and internal and external stakeholders., • Attend and participate in specific meetings alongside the ED, and, on occasion, represent the ED in their absence., • Ensure all meetings involving the ED are appropriately arranged and prepared., • Take ownership of all front-of-house duties relating to, or involving, the ED, including receiving visitors and deliveries. Research and analysis • Conduct research on relevant subjects, projects and meetings and potential opportunities, as directed, to support the ED., • Collate, organise and analyse data to provide insights to the ED, which support strategic initiatives., • Summarise information from reliable sources into concise reports, briefing notes and memos., • Provide analysis to support business cases, partnerships, or special projects as directed by the ED., • Develop and maintain a research database and knowledge bank for the ED’s reference. Project support • Provide support on special projects and initiatives, including international projects, as directed by the ED. These will include workstreams supporting Warrants, Events and Development, where required., • Assist in project management by tracking deliverables, deadlines, and outcomes., • Collaborate with teams, and stakeholders, to ensure accurate and timely flow of information. Other • Efficient data and file management to ensure the office complies with the data protection legislation., • Comply with all health and safety rules and regulations ensuring own and others’ health and safety at all times.
