Job Description Receptionist Location: Chatham, NJ Salary: $25/hr - Temp-to-Hire Schedule: Monday thru Friday; 8:30am-5pm PrideStaff has partnered with a premier real estate development firm in Chatham, NJ, to find a dedicated and professional Receptionist for a full-time, temp-to-hire opportunity. Our client is a leader in the industry, known for their high-quality projects and dynamic team environment. Job Summary As the first point of contact for the firm, the Receptionist is crucial to making a positive first impression. This role is a hybrid of traditional front-desk responsibilities and significant administrative duties. You will be responsible for managing the reception area, handling all incoming communications, and providing robust administrative and data entry support to the team, including the accounting department. Key Responsibilities Front Desk & Reception Duties: • Professionally answer, screen, and forward incoming phone calls., • Greet clients, visitors, and vendors in a warm and welcoming manner., • Maintain a tidy, organized, and presentable reception area and conference rooms., • Receive, sort, and distribute all daily mail, deliveries, and courier packages., • Manage calendars and scheduling for conference rooms. Administrative Support: • Prepare and process all outgoing mail, including Federal Express, UPS, and certified mail packages., • Perform essential clerical duties such as filing, photocopying, and document preparation., • Draft and format correspondence, memos, and reports using Microsoft Word and Excel., • Order and maintain inventory of office supplies., • Provide general administrative support to ensure efficient office operations. Accounting & Data Entry Support: • Perform basic data entry for the accounting department with a high degree of accuracy and attention to detail., • Assist with scanning, filing, and organizing invoices and other financial documents., • Uphold strict confidentiality with all sensitive and financial information. Qualifications and Skills • 2+ years of proven work experience in a receptionist, administrative assistant, or similar role., • High proficiency in Microsoft Office Suite (Word, Excel, and Outlook are required)., • A professional, polished demeanor and excellent interpersonal skills., • Exceptional written and verbal communication abilities., • Strong organizational and time-management skills, with a proven ability to multitask in a fast-paced environment., • A proactive, resourceful, and customer-focused mindset., • High school diploma required; an associate's degree or higher is a plus., • Prior experience in real estate, law, or a similar professional services environment is highly desirable.
