Job Description Controller DEPARTMENT: Accounting & Finance REPORTS TO: Chief Executive Officer (CEO) STATUS: Salaried/Exempt WORK SCHEDULE: Hybrid three (3) days in office two (2) WFH ABOUT PPTNM Planned Parenthood of Tennessee and North Mississippi is one of Tennessee's oldest and largest private, non-profit health care agencies. YOUR IMPACT As a key member of the Senior Leadership Team (SLT) and trusted strategic finance business partner to the CEO, the Controller is responsible for the financial management of the affiliate and all of its ancillary and/or subsidiary organizations. This role requires both strategic vision and hands-on execution. In a small, high-performing department with significant volume and complexity, you must be comfortable rolling up your sleeves to ensure accurate reporting, strong controls, and timely deliverables. You will strengthen systems, enhance automation, and bring clarity to complex, highly regulated financial environments influenced by external governing bodies and funding variability. Additional key partners to this role will also include - Chief Clinical Officer, Director, Revenue Cycle, Chief Development Office/VP;External Affairs and Chief People Officer. Accounting Operations & Month-End Close * Effectively lead and manage the affiliate’s nonprofit accounting and financial reporting functions, ensuring accuracy, integrity, and compliance across all internal and external financial processes. * Oversee all daily, monthly, and annual accounting operations including, but not limited to, accounts payable, accounts receivable, general ledger activity, journal entries, bank reconciliations, balance sheet reconciliations, cash flow forecasting, inventory, and grant accounting/billing.. * Lead an accurate and timely month-end close process (5-7 days), including clear close calendars, ownership of deliverables, review controls, and continuous process improvement to shorten close timelines while maintaining quality and accuracy. * Ensure all balance sheet accounts are reconciled timely and accurately, with appropriate supporting documentation and review controls in place. * Maintain the integrity of financial records and ensure readiness for internal review, external audit, and leadership reporting needs. Cross-Functional Partnership & Organizational Support * Partner cross-functionally with leaders across departments—including Revenue Cycle, Health Care Services, People Operations (HR), and Development to strengthen financial understanding, improve planning, and support organizational goals. * Partner and support department leaders on financial matters impacting budgets, spending decisions, and resource planning. * Participate in planning and financial analysis related to capital expenditures, including facilities, equipment, and infrastructure investments. People Leadership & Team Development * Supervise, coach, mentor, and develop Finance team members, creating clear expectations, professional growth opportunities, and a high-performance team culture. * Develop and manage an operational strategy for the Finance team’s daily activities, prioritization, and service delivery. * Build bench strength within the department by cross-training staff and developing reliable back-up coverage for critical functions, including month-end close responsibilities and key accounting processes. * Foster a collaborative, accountable, and service-oriented department culture focused on continuous improvement. Audit, Compliance & Internal Controls * In partnership and under the direction of the CEO, coordinate all external audit activities and ensure compliance with applicable auditing standards, nonprofit accounting requirements, and management reporting obligations. * Develop, implement, and maintain policies, procedures, and internal controls that promote operational excellence, accountability, and regulatory compliance. * Ensure financial compliance and sound stewardship related to vendors, contractors, grants, and third-party agreements. * In partnership with the CEO, support contracts and commitments entered into by the affiliate. Budgeting, Forecasting & Financial Planning * Under the direction of and in partnership with the CEO support the preparation of the annual operating budget - including gathering input from the Executive Leadership Team (ELT) and department managers as applicable. * Provide CEO with a monthly budget-to-actual analysis, variance reporting, and financial guidance to support sound operational and strategic decision-making. * Prepare financial forecasts and cash flow projections to support short- and long-term planning. * Identify opportunities to reduce costs, improve efficiency, and strengthen overall financial performance. CEO Partnership, Governance & Financial Stewardship * Partner with the CEO, Board of Directors, Board Treasurer, and Finance/Audit Committees to monitor, safeguard, and report on the financial health, assets, and overall fiscal sustainability of PPTNM. * Assist the CEO with evaluating the financial impact of new programs, services, investments, capital needs, partnerships or other strategic opportunities. * Ensure timely and accurate preparation of monthly financial statements, management reports, quarterly dashboards, forecasts, and other financial reporting for the CEO, Board of Directors, and key partner stakeholders. Additional Responsibilities * Perform other duties and special projects as assigned by the CEO. Masters and/or CPA preferred. EXPERIENCE: * At least ten years’ senior level accounting experience * Experience in healthcare and/or multi-site operations strongly preferred. * Experience managing a small finance team required. * Experience with Sage accounting software strongly preferred. * Experience with timely month end close procedures Other Requirements: Accepts flexible work schedule including occasional weekend and evening hours as necessary. Must be able to drive with valid license and insurance for occasional travel throughout the affiliate footprint.
