Job DescriptionSalary: $65k-$75k Job Description: Clinic Manager Type: Exempt Location: GA Clinic Reports to: Lead BCBA/Assistant Clinical Director Summary: The Clinic Manager at Key Essentials to Behavior Management is responsible for leading and overseeing all clinic activities for Applied Behavior Analysis (ABA) clients, as well as managing the day-to-day operations of the Georgia clinic. This hybrid position entails fulfilling clinic management responsibilities for 40% of the time and acting as a Supervisor 60% of the time. The Clinic Manager will ensure the smooth running of the clinic, provide supervision and support to Key Essential staff, and maintain a high standard of care for clients with disabilities. Responsibilities: Clinic Management (40%): Operational & Facility Oversight • Maintain full ownership of the clinic as a physical environment, ensuring all therapy rooms, common areas, restrooms, staff spaces, and outdoor areas (if applicable) are consistently clean, organized, professional, and client-ready., • Conduct routine walkthroughs of the clinic to monitor cleanliness, organization, safety, and overall presentation, addressing issues promptly., • Oversee clinic cleanliness and sanitation standards, including daily cleaning routines, toy and material sanitization, infection control practices, and adherence to health, safety, and licensing requirements., • Serve as the primary point of contact for facility-related needs, including maintenance requests, repairs, safety concerns, and coordination with vendors, contractors, and landlords., • Ensure compliance with all facility safety standards, including emergency preparedness, first aid supplies, incident reporting procedures, hazard prevention, and environmental risk mitigation., • Develop, implement, and regularly update policies and procedures that ensure efficient clinic operations, clinical excellence, and full compliance with regulatory requirements, insurance standards, and ethical guidelines., • Collaborate with the Lead BCBA/Clinical Supervisors to conduct regular environmental assessments of the clinic facility, ensuring spaces are optimally designed for various therapeutic needs, sensory considerations, and safety requirements., • Coordinate the onboarding process for new clients, including collecting necessary intake information and required documentation., • Coordinate and facilitate client assessments and develop client profiles to support individualized treatment plans., • Act as a primary point of contact for clients and their families to address inquiries, concerns, or requests for support., • Maintain open and clear communication with clients to ensure their needs and expectations are met throughout the service delivery process., • Provide ongoing support and guidance to clients and their families as they navigate the ABA services., • Coordinate and manage schedules for therapists and clients across various settings including clinic, home, schools, and Telehealth., • Utilize scheduling software/systems to maintain accurate and up-to-date calendars., • Assign therapists to clients based on availability, skillset, and geographic location., • Ensure appropriate therapist-to-client ratios are maintained for optimal service delivery., • Regularly update schedules to reflect changes in therapist availability, client needs, or cancellations., • Track and report any scheduling conflicts or issues to the appropriate supervisor., • Manage the budget for clinic operations and ensure financial targets are met by tracking clinical productivity metrics and billable hours to optimize revenue generation., • Conduct regular financial analyses to identify opportunities for improved resource allocation., • Oversee the clinic's clinical documentation system, ensuring thorough, accurate, and timely documentation that meets all ethical, legal, and insurance requirements., • Maintain accurate administrative data, including scheduling details, client demographics, and documentation., • Enter and update client information in the electronic health record (EHR) system., • Update and maintain accurate client records in compliance with all HIPAA and privacy regulations., • Lead continuous quality improvement initiatives by researching evidence-based ABA practices, conducting literature reviews, and implementing clinic-wide training on best practices and intervention techniques., • Establish and maintain crisis intervention protocols specific to the clinic environment, ensuring all staff are trained in proper de-escalation and emergency response procedures., • Implement a structured supervision model that ensures clinical integrity across all treatment programs while supporting the professional development of clinical staff., • Conduct regular clinical audits to evaluate treatment fidelity, client progress, and staff performance, using data to guide program modifications and training initiatives., • Conduct functional behavior assessments and contribute to the development of individualized treatment plans., • Ensure effective implementation of ABA programs according to the treatment plans., • Provide direct behavior analysis services to clients, including skill acquisition and behavior reduction., • Deliver interventions and behavior plans in alignment with best practices and ethical standards., • Observe, record, and analyze data on client behaviors, ensuring accurate data collection., • Collaborate with the BCBA in monitoring and evaluating client progress., • Provide guidance and support to behavior interventionists on implementing treatment plans and behavior management techniques., • Assist in the development, review, and revision of behavior intervention plans., • Collaborate with the supervisor and BCBA in preparing progress reports and treatment summaries., • Act as a liaison between the behavior interventionists and the BCBA, conveying any challenges or concerns., • Maintain accurate and organized records of client information, progress, and session notes., • Must be in the process of obtaining certification from the Behavior Analyst Certification Board (BACB)., • Master's degree in behavior analysis, psychology, special education, or a related field preferred., • Minimum of 2 years of experience working in the field of behavior analysis., • Strong knowledge of Applied Behavior Analysis principles, behavior management techniques, and data collection methods., • Experience in conducting functional behavior assessments and creating behavior support plans., • Exceptional leadership and managerial skills to effectively supervise and support staff., • Excellent communication and interpersonal skills to build positive relationships with clients, families, and other professionals., • Ability to analyze data and make data-driven decisions to modify treatment plans., • Familiarity with relevant laws, regulations, and ethical guidelines governing behavior analysis services., • Proficiency in using electronic data collection systems and software applications., • Strong organizational skills and attention to detail. Occasional Requirements (1-3 hours): Sitting, standing, walking, simple grasping, power grasping, pushing, pulling, reach above shoulder, reach waist level, reach below waist, reach below knee, ending, twisting, kneeling, squatting, driving personal vehicle. Rare Requirements (0-1): Hand and wrist work, keyboarding, fine manipulation, climbing stairs, lifting/carrying 1-50lbs.
