Job Summary The Office Assistant provides general administrative support and ensures the smooth, efficient operation of the office. The Office Assistant coordinates administrative workflows, ensures regulatory compliance, processes purchasing orders, provides logistical support for meetings and events, and maintains a well-organized office environment. The Office Assistant is responsible for daily, weekly, and monthly tasks that require strong organization, attention to detail, professionalism, time management, and adherence to office policies and procedures. Department: Administration Shift: Day Schedule: Monday - Friday (typically 8:30 - 5:00) Location: On-site Essential Job Duties • Administrative Support: Manage multi-calendar systems. Monitor and maintain personal and shared email inboxes for operational and compliance needs. Provide administrative support to leadership and staff as requested. Greet and assist visitors, vendors, and staff members at the front desk. Sort, distribute, and manage incoming mail and correspondence. Support general office communication, scheduling, and documentation. Maintain and organize files in SharePoint to ensure easy access and up-to-date documentation. Arrange travel logistics for staff, including flights and hotels. Coordinate and manage office catering services for meetings and events, • Compliance Support: Monitor and track compliance requirements for existing and new hire employees (e.g., compliance trainings; licenses; certifications), and update for terminations. Run compliance reports and follow up with staff to ensure timely completion of requirements. Maintain accurate and confidential compliance records and spreadsheets., • Purchasing Support: Process corporate credit card transactions and file receipts for financial reconciliation. Support purchasing activities (e.g., processing purchase requests; vendor communication; order tracking) and ensure proper documentation is submitted prior to submitting orders. Track and record provider timecards on a monthly basis., • Office & Facilities Support: Maintain inventory of office supplies and reorder as needed. Restock and maintain employee snack bar and breakroom supplies. Ensure breakroom cleanliness including refrigerator maintenance and general organization. Perform monthly fire extinguisher checks per safety requirements. About the Organization The Center for Comprehensive Care & Diagnosis of Inherited Blood Disorders (CIBD), a 501(c)3 non-profit organization, is committed to providing comprehensive care for patients and their families with rare, chronic inherited blood disorders. CIBD is a part of a nationwide network of over 140 Hemophilia Treatment Centers that use multidisciplinary teams of blood disorder specialists to provide expert comprehensive diagnosis, medical care, outreach, education, outcomes monitoring, surveillance, and prevention services to people with hemophilia, Sickle-Cell Anemia, Thalassemia, Von Willebrand Disease, and other related hematology conditions. CIBD is the regional grantee for the Western States Region/Region IX providing regional leadership, fiscal and administrative oversight, grants management, capacity building, clinical education, technical assistance, evaluation, and outreach to public and private health agencies at the local, state, and federal levels.
