Job Description Administrative Assistant Industry: Essential community services / Nonprofit Location: Fort Lauderdale, Florida (on-site) Schedule: Full-time, Monday – Friday, 8:30 AM – 5:00 PM with some flexibility Compensation: Hourly salary between $21.63-$24.04, commensurate with experience + benefits (see below) Summary of Mandatory Qualifications: • Bachelor’s degree in Business Administration preferred; four (4) years of education and/or administrative experience may substitute, • Minimum of two (2) years of administrative or office support experience, • Strong computer proficiency including Microsoft Office 365, Outlook, and database systems, • Demonstrated organizational skills with the ability to manage multiple priorities, • Ability to maintain strict confidentiality and exercise sound judgment in handling sensitive information About Us 2-1-1 Broward is dedicated to strengthening our community by connecting individuals and families to critical health and human services. About This Position We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our Administration Department. This role is essential in ensuring the smooth functioning of office activities, supporting leadership, and maintaining effective communication across the organization. The Administrative Assistant works closely with the Chief Financial & HR Officer and provides support across finance, human resources, and general administrative functions. This position requires a proactive professional who can manage competing priorities, maintain confidentiality, and contribute positively to a collaborative work environment. We think the ideal candidate is someone who: * Is highly organized and detail-oriented with strong follow-through * Communicates clearly and professionally with a wide range of stakeholders * Thrives in a fast-paced, multitasking environment * Demonstrates discretion and sound judgment when handling sensitive information * Takes initiative and works independently while supporting a team * Maintains a positive, professional demeanor at all times Essential Duties Administrative Support • Serve as the primary point of contact for visitors, deliveries, and general office inquiries, • Answer and route incoming calls in a professional and timely manner, • Process all incoming and outgoing mail, • Perform clerical duties including copying, filing, and document preparation, • Monitor office equipment and inventory; order supplies as needed, • Log all incoming checks and cash into the finance database and confirm deposits, • Assist with preparation of bi-weekly payroll, • Support human resources functions, including new hire onboarding and orientation, • Maintain confidentiality of all financial and personnel records, • Prepare materials for Board of Directors and committee meetings, • Attend monthly Board meetings and prepare accurate meeting minutes, • Act as liaison between staff and the agency’s outsourced IT provider, • Assist with fundraising activities and agency-wide initiatives, • Participate as a member of the disaster response team, supporting agency preparedness during emergencies, • Perform additional duties as assigned to support organizational needs Requirements * Bachelor’s degree preferred; equivalent combination of education and experience accepted * Experience in an administrative or office support role required * Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Zoom, Dropbox, and database systems * Knowledge of general office procedures and basic accounting practices * Ability to type a minimum of 50 words per minute * Strong spreadsheet skills, including basic formulas and formatting * Excellent written and verbal communication skills * Strong organizational skills and attention to detail * Ability to manage multiple tasks and meet deadlines * Ability to work independently with minimal supervision * Professional demeanor and ability to interact effectively with staff, clients, donors, and community members * Ability to maintain strict confidentiality of sensitive information * Ability to transport oneself for agency business Benefits We are pleased to offer the following: • Competitive hourly salary between $21.63 - $24.04, • Comprehensive benefits package including 100% employer-sponsored individual medical, dental, vision insurance plans, • Dependent health plans available for purchase, • 100% employer-sponsored life and disability insurance plans, • Generous Paid Time Off (PTO): 8.00 hours per pay period (up to 26 days per year of full-time employment) during the first 2 years of employment.
