Job Description JOB DESCRIPTION Ship Services Supervisor Department: Ship Services Job Status: Full Time FLSA Status: Exempt Reports to: Sales Manager Work Schedule: M-F 8:00AM-5:00PM Positions Supervised: N/A Some evenings and weekends POSITION SUMMARY: Ship Services Supervisor serves multiple functions and is responsible for overseeing the team of Technicians and Material Handlers in meeting our customer and partners needs. Job entails overseeing the flow of merchandise from the point of receiving to customer fulfillment using Carisam’s proprietary software. This function will include but not be limited to receiving, unpacking, processing, organizing, safely storing and distributing as directed by our Business Development Team (BDT) and / or vendor partners. Supervisor will oversee all POS (point of sale) inventory and the completion of tasks by support staff in a timely manner on behalf of both Vendors & Carisam. Supervisor will need to acclimate to the daily aspects of the Ship Services and oversee many of the daily duties, including but not limited to staff scheduling, ship visits, inventory control and occasionally aid with priority deliveries and pick-ups, including local airports and seaports. Supervisor will additionally be responsible for overseeing our Ship Visit program where we regularly visit ships from Boston to Alaska and beyond to service draft beer lines, train onboard crew and complete product code checks. Your Team will also serve as eyes and ears for our Partners and may in some cases help with onboard projects in conjunction with special promotions. Out of area Ports that we regularly visit seasonally are Boston, New York/ New Jersey, Baltimore, Charleston, Jacksonville, Galveston, Long Beach, Seattle & Ketchikan. We sometimes also visit Caribbean Islands as well as Europe for special installations. Local ports we visit would include Miami, Fort Lauderdale, Canaveral & Tampa. Additional duties may increase as needed and are subject to change. ESSENTIAL FUNCTIONS: Draft Services Program: • Oversee Technicians in completing regularly scheduled maintenance and services using our proprietary Zenput software. Issues that may potentially affect the vendor or Carisam should be brought to your Supervisors attention immediately., • We normally see ships in our area every 4 – 6 weeks and ships out of the area seasonally. Visits to the ships out of the immediate area should be planned to maximize our time spent, both physically and financially., • Ensure we have draft supplies on hand and that associates are prepared for each visit prior to leaving, if using one of the company vehicles, vehicles must be stocked and inventory monitored accordingly., • Communicate with ships on a regular basis and respond to requests for service as they develop via email and follow-up as needed., • Ensure we are following regulations involving the TTB. Daily Duties: • Ship Services Supervisor will check merchandise and supply deliveries for accuracy, verifying quantities received match bills of lading, purchase orders, and other key documents. After safely staging incoming shipments, you will maintain ongoing and proactive communication with key partners and BDT about new arrivals, order overages and shortages, and delivery delays, • Responsible for accurate tracking and documentation of merchandise; Accountable for merchandise and supplies, to ensure compliance with designated inventory levels and help prevent run-outs., • Provide daily accounting and documentation, and also participate in formal periodic inventory audits., • Responsible for external transfers, reporting damaged merchandise, and manufacturer returns. Assist in decreasing merchandise shrinkage by researching inventory discrepancies, and reporting suspicious activities to department supervisor., • Responsible for shipping merchandise and supplies in and out of inventory to internal/ external locations and departments; Specifically, to monitor pulled items from storage, physically move them, stock shelves, and use tracking and communication tools to advise appropriate management about product placement and new inventory levels., • Organize the ships services areas including but not limited to the office, cage and warehouse and ensure that accurate labeling, logical product placements are maintained at all times in a neat a safe manner. Periodically assist in preparing packages for external shipment to customers or vending partners., • Must have the capability to complete emergency deliveries and pick-ups as needed and be comfortable as a Customer Service branch of the business in the presence of all business associations., • Maintain a clean and safe work environment at all times., • Spot check inventory on a regular basis for accuracy., • Use due diligence in scheduling employees to maximize productivity. EDUCATION AND WORK EXPERIENCE: • HS Diploma or Equivalency; a minimum of two (2) years’ general warehouse experience; Previous logistics, stock, receiving, inventory, experience required and two (2) years’ supervisory experience; Or a combination of experience; training and/or education in related field. Bilingual (Spanish/English) preferred not required; previously have used JD Edwards preferred. Must be flexible & able to travel, work may involve some nights and weekends as needed.
