The Administrative Assistant / Receptionist will serve as the first point of contact for the office, providing essential administrative and logistical support to ensure efficient daily operations. This is a full-time position operating within a professional office environment, utilizing standard office equipment (computers, phones, copiers). Ability to sit, stand, walk, talk, hear, and occasionally lift up to 20 pounds of office products and supplies. Minimal to no travel is expected for this role, though opportunities for facility coverage or career advancement may occasionally require it. Core Administrative Support • Professionally answer, screen, and route incoming telephone calls and record detailed messages., • Sort, process, and distribute all incoming and outgoing correspondence and packages; coordinate specialized shipping services as needed., • Monitor, inventory, and procure office, kitchen, and administrative supplies, ensuring adequate stock levels are maintained for uninterrupted operations (e.g., stationary, coffee service, office amenities)., • Maintain the professionalism and basic cleanliness of the reception and common office areas, including monitoring and emptying light trash receptacles., • Coordinate and reserve conference rooms and classrooms for internal meetings, executive sessions, and external customer/client events., • Execute necessary filing and data entry tasks across multiple systems, focusing on critical records such as safety training documents, certification uploads, compliance reports, and revision control processes (MOC)., • Operate, troubleshoot, and coordinate maintenance for standard office equipment, including photocopiers, scanners, and communication systems. We seek a highly organized, proactive, and customer-focused individual who can manage multiple tasks effectively. • Excellent verbal and written skills, with a professional phone demeanor., • Exceptional attention to detail, strong time management, and the ability to prioritize workload effectively., • Demonstrated ability to anticipate needs, take initiative, and solve problems independently., • A consistently positive, customer-service-oriented approach and ability to collaborate across teams., • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn and utilize new internal systems for data entry, reporting, and documentation control.
