Job Description We are seeking a Philanthropy & Marketing Administrator to lead integrated initiatives that strengthen donor engagement, elevate brand presence, and drive measurable impact across campaigns. This role blends daily administrative work with hands-on execution of strategic initiatives, including managing and analyzing donor databases to support fundraising goals, while ensuring alignment between marketing efforts and a cohesive brand identity. The successful candidate will perform following responsibilities: • Maintains confidentiality of sensitive employee, donor, and organizational information., • Provides administrative support to the Chief of Philanthropy and to the Chief of Marketing & Brand Strategy, and team leadership, including scheduling, room reservations, travel arrangements, invoice processing, purchase orders, and supply procurement. Reports directly to the Chief of Philanthropy, with routine assignment of supervisory responsibility to Chief of Marketing and Brand Strategy, as necessary., • Coordinates meeting logistics, including location scheduling, room setup, audio/visual needs, refreshments, and materials. Prepares agendas, reports, and presentations for Board and committee meetings and manages the Board calendar., • Answers and directs departmental phone calls and emails, providing outstanding customer service to internal and external contacts, including prompt donor inquiry responses., • Organizes and maintains divisional files, records, and documents, ensuring consistency in naming conventions and storage practices. Updates forms and content on the intranet and public folders., • Supports reporting needs, including demographic and attendance data., • Manages capital and non-capital asset tracking for both divisions., • Coordinates CEO approval processes and monitors contract renewals, tracking key deadlines and ensuring timely execution., • Designs basic signage and marketing materials., • Assists in the coordination and execution of internal and external campaigns, projects, and fundraising events, ensuring deadlines are met and tasks completed., • Coordinates and approves requests for outside events, photography, videography, and commercial drone usage. Manages volunteers for special projects and events., • Provides on-site support for Great Parks programs, community outreach, and special events as needed., • Manages all aspects of the fundraising database, including donor data entry, queries, reports, campaign lists, and donation acknowledgements. Prepares donations for Finance staff and manages all related communications., • Coordinates the legacy tree and bench program, coordinating inquiries and logistics with Conservation & Parks staff., • Assists with content management for Great Parks Forever’s digital channels, including website, social media, and email campaigns., • Ensure data accuracy and compliance with privacy and fundraising regulations across all donor and communication databases., • Support performance tracking by assisting with basic analytics and reporting on marketing, engagement, and fundraising campaigns., • Facilitate cross-departmental coordination to align Marketing and Philanthropy initiatives with other internal teams., • Coordinate with external vendors and partners for events, materials, and campaign support, ensuring timely execution., • Proofread and edit communications to maintain clarity, professionalism, and alignment with brand standards., • Demonstrate proficiency with key software tools and adapt to evolving technologies used for marketing, asset tracking, and fundraising., • Demonstrates agility to provide support to two divisions and a variety of job duties in support of projects and organizational initiatives., • Receives and distributes office mail and processes bulk mailings., • Ensures compliance with organizational cash and credit card handling procedures., • Exhibits regular and punctual attendance; may work outside normal hours as required., • Collaborates effectively across departments, participates in meetings and training, and serves on committees as needed., • High school diploma or equivalent required., • Associate degree in marketing, communications, business or public administration, or related field preferred., • 1–3 years of administrative experience required; experience in office administration, database management, or as an administrative assistant preferred., • One year of experience in marketing, communications, or use of accounting/finance software preferred., • Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint) required., • Must demonstrate effective business writing and communication skills., • State Motor Vehicle Operator’s License that meets Great Parks’ current carrier guidelines.
