Working closely with providers, medical assistants, and the administrative leadership team, this individual will maintain regulatory compliance, enhance patient satisfaction, and strengthen internal workflows. The Interim Clinical Manager must demonstrate strong leadership, excellent communication, and deep understanding of dermatologic operations, including Mohs surgery support, while guiding the clinical team with integrity and professionalism. This role requires a proven ability to mentor staff, support clinical excellence, and lead through change management initiatives. The successful candidate must possess the emotional intelligence and practical experience necessary to inspire trust and bring stability to the team during a time of transition. Core Responsibilities 1. Management • Clinic Operations Oversight:, • Oversee the daily operations of patient care and clinic activities, ensuring a smooth and efficient workflow., • Collaborate with providers and administrative teams to maintain high patient satisfaction and exceptional care standards., • Monitor and evaluate patient wait times, appointment scheduling, and clinic flow to enhance overall efficiency., • Supply Chain and Equipment Management:, • Manage inventory for clinical and surgical supplies, ensuring availability and cost-effectiveness., • Schedule and supervise maintenance and calibration of all medical equipment, including lasers, autoclaves, and diagnostic tools., • Track compliance of clinical devices with safety and regulatory standards, maintaining thorough records for inspections., • Staffing & Scheduling:, • Oversee clinic staffing, coordinating coverage for PTO, PTO approvals/denials, absences, timecard approvals, and other scheduling needs., • Optimize staff allocation to support provider schedules and maximize clinical flow., • Monitor tardiness and absenteeism, developing coverage plans to avoid disruptions in patient care., • Budget & Financial Oversight:, • Assist in managing budgets for clinic operations, ensuring cost-effective use of resources., • Identify opportunities to reduce spending without compromising quality or patient experience., • Track and evaluate supply spending, presenting recommendations for improved allocation., • Vendor and Supplier Management:, • Build and maintain relationships with vendors to ensure timely delivery and competitive pricing for clinical supplies., • Evaluate contracts with suppliers to negotiate favorable terms and reduce costs., • Regulatory Compliance:, • Ensure clinic operations adhere to all federal, state, and local regulations, including OSHA, HIPAA, and CLIA standards., • Conduct regular compliance audits and maintain documentation for regulatory inspections. 2. Administrative • Policy Development & Implementation:, • Develop, review, and implement clinic policies in collaboration with leadership., • Ensure all clinical policies meet internal and regulatory requirements while supporting operational goals., • Data Analysis & Reporting:, • Collect and analyze performance metrics such as patient throughput, appointment wait times, and staffing efficiency., • Provide leadership with actionable insights to enhance operational efficiency., • Technology & EMR Management:, • Oversee EMR system operations (NexTech) and implement new technology solutions to improve workflows., • Train staff on EMR usage and ensure accurate and timely documentation of patient records. 3. Clinical Support • Patient Care Support:, • Provide hands-on clinical support as needed, including administering vaccinations, phlebotomy, and patient preparation., • Medical Record Audits & Documentation:, • Audit medical records to ensure compliance with clinic policies and regulatory standards., • Oversee timely completion and locking of provider notes within mandated deadlines., • Emergency Response:, • Develop and implement emergency response protocols to address patient safety and medical emergencies., • Continuous Improvement:, • Actively identify opportunities to enhance clinical operations and patient experiences through workflow redesign and staff development., • Regulatory & Compliance Monitoring:, • Oversee iPledge, HIPAA, and OSHA compliance programs, ensuring full adherence to regulatory requirements., • Coordinate CLIA certification, proficiency testing, and inspections. 4. Staff and Training • Recruitment & Onboarding:, • Lead recruitment efforts for clinical staff, including medical assistants and patient care technicians., • Conduct interviews, oversee orientation processes, and ensure new hires receive thorough training., • Performance Management:, • Conduct annual performance evaluations for clinical staff and create improvement plans for underperforming team members., • Use key metrics to assess team performance and identify opportunities for growth., • Training & Development:, • Administer regular training sessions on EMR systems, clinical protocols, and new technologies., • Ensure staff are well-versed in compliance standards and patient care procedures., • Leadership Development & Mentoring:, • Identify high-potential team members for leadership development, offering mentorship and growth opportunities., • Team Meetings & Collaboration:, • Lead monthly team meetings to review clinic performance, address concerns, and communicate changes in policies or protocols., • Conflict Resolution:, • Serve as the primary point of contact for resolving staff and escalated patient conflicts, ensuring timely and professional resolution. Education and Experience: • Bachelor's degree in healthcare administration, nursing, or a related field preferred., • Proficiency in Electronic Medical Records (EMR) systems, preferably NexTech., • Familiarity with HIPAA, OSHA, and CLIA compliance standards., • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other administrative tools., • Demonstrated success in managing clinical teams, including hiring, onboarding, training, and performance evaluations., • Proven ability to lead and mentor staff to achieve organizational goals., • Strong organizational skills with a detail-oriented approach to managing clinic workflows., • Excellent problem-solving and decision-making skills in a fast-paced environment., • Exceptional communication and interpersonal skills to foster collaboration between staff, providers, and patients., • In-depth knowledge of healthcare regulations and the ability to conduct audits and ensure clinic-wide compliance., • Ability to stand for extended periods during shifts, as necessary.
