Directly oversees the Skin Science, Esthetics, and Concierge teams, staffing, training, and processes. Serves as the subject matter expert, ensuring proper communication between physicians, mid-level providers, associated management teams, and patients. Essential Functions Leadership and Overall Staff Management • Daily management and oversight of Cosmetic Concierges, Skin Science Brand Manager and Estheticians, and associated employees and processes, • Oversees the cosmetic, esthetic, and product patient experience, • Oversees cosmetic and esthetic clinic operations, and Store operations in office and on line, • Manages and reviews duties with staff members to ensure they are being completed accurately and in a timely fashion, • Conducts departmental meetings and huddles for effective and efficient work flow, • Hires and trains the Skin Science, Estheticians and Concierge team, • Collaborates with each employee that reports to the Director of Cosmetics; provide performance evaluations that are timely and constructive; coaching, counseling, and analyzing variances; initiating corrective actions, • Support the Skin Science Brand Manager to set up and manage goals of Skin Science ambassadors staff, • Collaborate and partner with CPA to communicate Profit and Loss, reports, weekly goals to meet quarterly bonuses for Skin Science ambassador, Estheticians and Concierge teams, • Evaluate and utilize supervisory techniques to solve problems and implement interventions where required, • Demonstrates initiative and independent critical thinking skills when both working independently and while leading a team, • Ensures business goals, deadlines and performance standards are met, • Treats all patients and other staff members with respect, • Attends and contributions to meetings as required, • Oversees weekly, bi-weekly, monthly, quarterly and/or as needed inventory analysis; identifies and resolves discrepancies and problems, • Communicates quarterly with Medical Director, providers, estheticians, cosmetics retail store staff, and marketing on new items for review and/or discontinuing, shares final decisions with all staff, • Review and manage the backbar products, cosmetic consumables inventory stock monthly., • Send purchase orders to the appropriate approvers, and order the approved inventory, • Manages and audits physical counts of retail products, backbar products, cosmetic consumables to be performed monthly., • Serve as a backup when necessary Administrative • Runs and analyzes monthly, quarterly and annual cosmetic procedure and device reports with Medical Director or Practice Administrator, • Create, review and communicate actionable initiatives derived from reports related to the Skin Science, Esthetician and Concierge team, • Reconcile the monthly expenditures, • Advises departments and practice on pertinent cosmetic/esthetic information and updates, • Manages patient elements of the NexSpa module of NexTech (gift cards, coupons, CCSD Reward Program, NexTech Memberships), • Provides KPI information to providers as directed, • Oversees equipment and preventive/annual maintenance, and coordinate repairs, • Coach and guide with the development and coordination of plans and procedures for cosmetic and esthetic operations, • Demonstrates continuous effort to improve cosmetics, esthetics and skin science operations, and streamline work processes, • Prepares and presents formal and informal instruction to staff members, • Assists in the management of approving and scheduling employee treatment, accounting for staff points available, provider times available and order in which requests are received., • Coordinates employee/patient treatment for training activities as required., • Updates own job knowledge by participating in educational opportunities, • Keeps abreast of trends in market, share new ideas/products with Practice Administrator and/or Medical Director, • Provides strategic planning for CSS with Medical Director and Practice Administrator, • Thoroughly understands of inventory and information systems policies and procedures; creating and updating pertinent Standard Operating Procedures (SOPs) annually, • Analyzes costs, pricing, variable contributions, sale results and the company's actual performance compare to business plan/budgets, • Ensures adherence to approve budget, obtaining final approval from Medical Director, • Works closely with the Medical Director, Practice Administrator and other leadership to ensure smooth operation workflow, • With the marketing team, updates in-office materials and training materials, • Other duties as assigned by the Medical Director or Practice Administrator Skills, Knowledge and Abilities • Encourages cooperation and be an example of a team player, • Motivates staff members to effectively complete tasks, • Resolves conflict positively, • Identifies staff strengths and address opportunities for improvement, train accordingly, • Promotes feedback from staff members for quality improvement, • Understands a patient's needs and concerns, • Demonstrates understanding of patient billing and upfront collections, • Encourages cooperation and be an example of a team player, • Maintains professional image through appropriate attire and grooming, • Performs other duties as needed by the Practice Qualifications and Education • A minimum of 7-10 years in a supervisor/leadership role, • High level of computer skills, • Exceptional customer service, communication skills and general etiquette, • 365 Microsoft Office, • Ability to manage multiple tasks simultaneously, • Must be able to lift/carry up to 20 pounds, • 10 years minimum leadership experience in a medical cosmetic setting, • NexTech experience ADA SPECIFICATIONS (Physical demands that must be met to complete the essential functions of the job) • · Requires the ability to speak audibly and listen actively., • · Requires ability to use computers, telephones, and other office equipment., • · Requires ability to sit for extended periods., • · May require occasional bending and lifting to 25 pounds.
