Job Description Glass Eye Studio – Senior Bookkeeper, Multi-Entity Operations (Full-Time → Part-Time Transition) Position Overview Glass Eye Studio is seeking a highly capable Senior Bookkeeper to join immediately in a hands-on, execution-focused role supporting the financial operations of the Studio and its related entities. This role is best suited for someone who is comfortable working independently in evolving environments, can quickly assess and organize complex financial information, and brings a high level of ownership to their work. The position begins as a full-time engagement and transitions into an ongoing part-time role supporting the business long-term. The role works directly with ownership and requires discretion, sound judgment, and strong internal control discipline. Initial Engagement (Immediate Start) • Take ownership of accounting across multiple entities and ensure consistency across all records, • Review, organize, and align financial data to support accurate reporting, • Reconcile bank and credit card accounts and maintain clean, supportable balances, • Manage and maintain clear intercompany accounting and documentation, • Prepare structured, audit-ready financials for CPA coordination, • Identify inconsistencies and implement appropriate corrections, • Establish and document accounting processes that support ongoing accuracy and efficiency Ongoing Responsibilities (Post-Transition to Part-Time) • Full-cycle bookkeeping (AR, AP, payroll, reconciliations, month-end close), • Process payroll twice monthly using Intuit and maintain payroll records, • Coordinate with outside CPA firm for WA State B&O filings, quarterly reporting, and annual tax preparation, • Maintain accounting across multiple entities with clear intercompany records, • Reconcile all bank and credit card accounts monthly without exception, • Prepare checks and payment batches for owner signature, • Initiate ACH and electronic payments within defined authorization procedures, • Deposit incoming checks and maintain complete audit trails, • Maintain strict documentation standards for all financial transactions, • Work closely with Customer Service and Sales to reconcile and invoice custom projects, consignment orders, and non-Shopify revenue, • Track deposits, milestone payments, and outstanding receivables, • Partner with production team to track inventory and cost-of-goods inputs, • Track capital expenditures, equipment purchases, and facility upgrades, • Attend weekly Sales and Production meetings Internal Controls & Accountability Expectations • Operate within established internal control frameworks, • Maintain separation between preparation and authorization of funds, • Ensure all payments are properly supported, coded, and documented, • Maintain audit-ready financial records at all times, • Proactively identify and flag discrepancies or irregularities, • Uphold strict confidentiality across all entities Required Qualifications • 7+ years of full-cycle bookkeeping experience, • Strong multi-entity accounting experience, including intercompany accounting, • Demonstrated ability to step into existing systems and bring structure, clarity, and accuracy, • Advanced proficiency in QuickBooks Online, • Experience processing payroll and managing payroll compliance, • Experience with ACH initiation, check preparation, and operational banking access, • Experience working within structured internal control environments, • Experience supporting CPA review and year-end close, • High level of accuracy, organization, and accountability, • Strong written and verbal communication skills, • Professional references tied to financial stewardship, • Bondable preferred Compensation • $40–$55/hour, depending on experience and capability, • Project completion bonus awarded upon successful completion of the initial engagement phase, based on quality, timeliness, and readiness of financials for CPA review, • Transition to ongoing part-time role (20–25 hours/week) following initial phase Schedule • Full-time initially, immediate start required, • Transition to part-time (20–25 hours per week) upon completion of initial engagement, • Consistent onsite presence preferred Ideal Candidate Profile You are someone who enjoys bringing order to complex environments, can work with incomplete information when needed, and takes pride in leaving systems cleaner, clearer, and more reliable than you found them.
