Job Description Job Summary:The Engineering Administrative Assistant provides comprehensive administrative and coordination support to the engineering and plant teams. This role focuses on project tracking, budget and spend reporting, meeting coordination, documentation control, onboarding support, and cross-functional communication. The position helps reduce non-technical workload for engineers while ensuring accurate reporting, smooth operations, and compliance with plant, DOD, and ITAR requirements. Key Responsibilities: • Maintain project spend by entering and updating capital and expense portfolio data; request project charge numbers and support budget tracking in coordination with Finance, • Prepare, analyze, and distribute monthly project spend, labor, and SAP-based reports for capital and expense projects, • Track and update engineering, departmental, and operational metrics including one-pager metrics, divisional vital fews, and routine reports, • Manage experimental parts tracking and assist process engineers with quoting activities, • Coordinate purchasing requests, receipts, documentation, and contractor-related materials, • Coordinate logistics for recurring engineering and plant meetings, including agenda preparation, slide consolidation, note-taking, action item tracking, and follow-ups, • Schedule meetings, conference rooms, vendor and visitor visits; maintain shared calendars, distribution lists, and recurring meetings, • Organize onboarding for new employees, contractors, and interns, including materials, access requests, and system setup coordination, • Route and track access requests, IT tickets, facilities service tickets, and other service requests, • Coordinate onsite trainings, seminars, and external travel or training logistics, • Manage shared inboxes, collaboration platforms (Teams, SharePoint), and shared folders with standardized naming and version control, • Maintain and update SOPs, templates, checklists, and controlled documents; support audit readiness, • Track deadlines for project documentation, presentations, OneFile submissions, and extension requests, • Draft and distribute routine communications, reminders, and coordination emails on behalf of the engineering team, • High proficiency with Microsoft Word, Excel, PowerPoint, and Outlook, • Strong organizational and time management skills, • Ability to manage multiple projects, deadlines, and stakeholders, • Strong attention to detail in data entry, scheduling, reporting, and documentation, • Effective written and verbal communication skills, • Experience using scheduling tools and coordinating across multiple locations Education: High School Company DescriptionCompunnel Inc., established in 1994; is a leading provider of Staffing, IT/Software, e-Learning/Training, Business Intelligence, and Cloud Solutions.
