Our work spans our signature programs, AGST, GST Tech, special events, and operational support across multiple facilities. We are seeking a highly organized, proactive, and mission-driven Operations Coordinator to support our expanding team and ensure seamless operations across all departments. Position Summary The Operations Coordinator is a central member of the Gateway Global team, responsible for executing a wide range of administrative and operational tasks that keep our programs, facilities, and events running smoothly. This role supports internal staff, external stakeholders, program participants, and community partners while maintaining a high level of professionalism, accuracy, and customer service. The ideal candidate is detail-oriented, thrives in a dynamic environment, communicates effectively, and enjoys balancing systems-driven tasks with people-facing responsibilities. Key Responsibilities Administrative SupportProvide day-to-day administrative assistance to leadership and program staff.Manage calendars, schedule meetings, coordinate appointments, and support communications.Draft and prepare correspondence, reports, forms, and internal documents.Maintain organized digital and physical filing systems across departments.Retrieve, organize, and process or file all mail. Support staff onboarding, training logistics, and internal communication workflows. Operations & Facilities CoordinationOversee facility operations across all Gateway Global buildings, including AGST and GST Tech sites.Manage building access, security protocols, and opening/closing procedures.Ensure common areas, classrooms, offices, and event spaces remain organized, functional, and properly equipped.Oversee vendor relationships and service providers (cleaning, maintenance, IT, utilities, etc.).Conduct regular facility walkthroughs and coordinate repairs or maintenance as needed.Track and reorder office, classroom, and building supplies; maintain inventory systems. Bookkeeping & Financial SupportAssist with processing invoices, expense reports, receipts, and reimbursements.Support basic bookkeeping tasks such as data entry, coding expenses, and tracking operational budgets.Coordinate vendor payments, purchase orders, and supply procurement within established financial processes.Manage invoices and ensure that all payments are mailed or paid online in a timely manner meeting the due date(s). Work closely with the finance team to ensure compliance and accuracy. Program & Event OperationsProvide logistical and administrative support for all Gateway Global programming, including AGST, GST Tech, and special initiatives.Assist with planning, organizing, and executing events, trainings, and ceremonies.Coordinate event logistics such as room setup, A/V needs, food & beverage, supplies, and materials.Manage event setup and breakdown, ensuring high-quality participant and guest experiences.Greet guests, visitors, partners, and program participants with professionalism and hospitality. Scheduling & CoordinationSchedule internal meetings, program sessions, partner visits, and external engagements.Maintain program calendars, event timelines, and facility usage schedules.Serve as a hub for internal coordination between program, operations, and leadership teams. Additional DutiesSupport the procurement and management of instructional and operational equipment.Maintain compliance documentation and assist with internal audits when required.Assist with transportation coordination for participants or materials as needed.Provide backup coverage for reception and front-desk operations.Perform other duties as assigned that contribute to operational excellence and organizational efficiency. RequirementsMinimum Bachelors's degree in business, human resources, nonprofit management, finance or related field plus 2+ years of experience performing the duties of this role.Demonstrated experience working with workforce development, education, training, internship or apprenticeship programs for youth and adults either in industry or government.Demonstrated knowledge of pre-apprenticeship training and apprenticeship and technical occupations, nature of work performed, and U.S. Department of Labor and other state and local government requirements for compliance and implementation.Willingness and dedication to stay current on trends and policies related to program management, apprenticeship, higher education, and workforce development within the assigned state.Client-focused and student-oriented experience.Experience in educational marketing, recruitment, relationship building, and community engagement.Capable and willing to give presentations in person or virtually to promote program and recruit partners and participants.Knowledge of best practices, and legal, accounting and regulatory requirements for grantmaking; understanding of IRS regulations regarding nonprofit organizations.Proficiency in Microsoft Office Suite, QuickBooks accounting software and familiarity with grants database management systems, including preparation of data displays and reports.Excellent verbal and written communication skills, strong customer-service orientation, outstanding negotiation skills, professional composure under pressure.Superior attention to detail and excellent organizational, time-management and project management skills with the ability to prioritize, multi-task and work independently as well as collaboratively as a member of a team.Impeccable, integrity and trustworthiness, with an ability to handle sensitive information effectively and confidentially.Strong judgment, analytic reasoning, critical thinking and problem solving skills.Professional and emotional maturity that demonstrates warmth, dependability, responsiveness, initiative, flexibility, knowledge, credibility and a good sense of humor.Innovative, forward thinking, ability to work with a team, but also independently without the need for constant supervision.Ability to work well with diverse colleagues with varied personalities and work styles.Ability to interact effectively and maintain positive working relationships with vendors, grant seekers, grantees, board and staff.Flexibility in approach and willingness to adapt when necessary. Some evening or weekend support may be required during high-volume programming periods or special events. PHYSICAL DEMANDS Physical demands are representative of the requirements necessary for an employee to perform the essential functions of this position. The employee is required to actively listen and communicate clearly with an emphasis on self management and management of others. The employee is required to publicly speak. The employee is required to reach with arms and hands, balance, lean, and move from one location to another. Vision abilities required by this job include close and far. Ability to operate a computer keyboard and mouse, and lift and transport files and reports is required. Employees must be able to lift and carry a minimum of 20 pounds.
