We are seeking a detail-oriented and proactive Purchasing Coordinator to join our team. The Purchasing Coordinator will play a crucial role in our procurement process, ensuring timely and cost-effective acquisition of materials, supplies, and services essential for our operations. Responsibilities: • Accurately input and maintain procurement, inventory, and purchasing transaction data across company systems, • Solicit bids from our approved supplier base and negotiate pricing, terms, and conditions, • Prepare and issue Purchase Orders, Work Orders, and Change Orders with precision and timeliness, • Maintain organized PO, vendor, and subcontractor files — keeping everything audit-ready, • Gather and maintain vendor and subcontractor compliance records, ensuring documentation is current and complete, • Collaborate directly with Accounts Payable and Project Managers for PO/WO/CO reconciliation, • Resolve invoice discrepancies and manage expediting with a solutions-first mindset, • Maintain logs, tracking files, and reporting to support real-time visibility into procurement activity, • Perform regular data quality checks to catch and correct errors before they become problems, • Contribute to process improvements and best practices that make our team better every day, • Follow all company Policy & Procedure guidelines and take on additional tasks as needed Requirements: • 2 years of purchasing related experience or demonstrated knowledge, skills and abilities to perform the above-mentioned tasks., • Sharp attention to detail — you catch what others miss, • Strong organizational skills and the ability to manage multiple priorities without dropping the ball, • Proficiency in Microsoft Office (Excel, Word, Outlook), • Experience with Vista software (a strong plus), • Fast, accurate typing and confident computer navigation, • A team-first attitude and the willingness to put in the work when it counts, • A proactive mindset — you own the problem and deliver the solution RIPA provides Equal Employment Opportunity (EEO) to all employees and applicants for employment without regard to Race, Color, Religion, Gender, National Origin, Age, Disability, Veteran Status, Genetic Information & Testing, Family & Medical Leave, or any other protected class in accordance with applicable Federal Laws.
