Job DescriptionSalary: The Senior Project Coordinator supports the project management and field teams in the execution of commercial construction projects from award through closeout. This role provides advanced administrative, documentation, and coordination support while taking a proactive lead in managing project information flow, maintaining controls, and supporting project delivery milestones. The Senior Project Coordinator acts as a key liaison between project managers, superintendents, subcontractors, vendors, and clients. In addition to day-to-day project operations, this role brings a higher level of accountability, problem-solving, and mentorship to ensure projects run efficiently and consistently. What Youll Do • Maintain and oversee organized project files, including contracts, drawings, specifications, submittals, RFIs, meeting minutes, and correspondence., • Upload, track, distribute, and manage project documents through company systems and construction management software., • Partner closely with the Controller and project accounting team to support all aspects of project accounting, including cost tracking, invoice review, compliance verification, and financial documentation management., • Track, monitor, and audit subcontractor and vendor documentation to ensure all compliance requirements (insurance, lien waivers, etc.) are met prior to payment release., • Assist in reviewing and reconciling subcontractor pay applications, vendor invoices, and change order requests to confirm alignment with contract terms, budget, and approved scope., • Support job cost reporting by maintaining accurate logs, cost coding documentation, and budget tracking tools to ensure real-time visibility into project financial performance., • Create, maintain, and audit submittal logs, RFI logs, change order logs, procurement logs, and project directories to ensure accuracy and completeness., • Serve as a primary liaison between project management and accounting to ensure seamless communication on billing cycles, payment status, forecasting updates, and financial risk items., • Manage RFIs, submittals, and document revisions, ensuring timely routing, responses, and approvals., • Coordinate project meetings, prepare agendas, lead documentation efforts, and distribute meeting minutes with clear action items and follow-up., • Track project schedules, milestones, deliverables, and long-lead procurement items; proactively flag risks or delays to the project team., • Assist with purchase orders, subcontract agreements, change orders, and related documentation, ensuring alignment with project requirements and internal controls., • Coordinate site access, badging, safety documentation, onboarding requirements, and compliance tracking for subcontractors as needed., • Serve as the primary point of contact for all project-related job supply orders, coordinating requests, tracking deliveries, resolving issues, and maintaining order logs., • Lead and support project closeout activities, including collection and organization of as-builts, warranties, O&M manuals, and final turnover documentation., • Provide guidance and informal mentorship to Project Coordinators or junior team members, supporting consistency and best practices across projects., • Identify opportunities to improve project coordination processes, documentation standards, and internal workflows. What You Bring • Strong understanding of commercial construction processes, project lifecycles, and construction documentation., • Proficiency with construction management software such as Procore, Bluebeam, and Microsoft Office (Excel, Word, Outlook)., • Exceptional organizational skills with a high level of attention to detail, accuracy, and follow-through., • Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders., • Ability to manage multiple priorities, anticipate project needs, and work effectively in a fast-paced, deadline-driven environment., • Team-oriented mindset with the ability to work independently, take ownership of tasks, and support project leadership proactively., • Experience supporting multiple projects or large, complex commercial construction projects preferred.
