Executive Assistant & Office Coordinator $50,000-$55,000 annually | Sterling, VA | Full-time, In Office About ICCFA The International Cemetery, Cremation and Funeral Association (ICCFA) is a trade association dedicated to providing exceptional education, networking opportunities, and legislative guidance to progressive cemetery, funeral, and cremation professionals worldwide. The Opportunity ICCFA is seeking a highly organized, proactive, and service-oriented Executive Assistant & Office Manager to provide direct administrative support to the Executive Director and take ownership of the day-to-day operation of ICCFA's Sterling office. This role is ideal for someone who enjoys being the person who keeps things moving - anticipating needs, staying ahead of details, following through on commitments, and creating an organized and welcoming workplace. In addition to supporting the Executive Director and managing office operations, this position serves as a central administrative resource for the ICCFA team, assists with membership-related administrative needs, and serves as a welcoming first point of contact for members, callers, vendors, and visitors. This is a full-time, in-office position based in ICCFA's Sterling, Virginia office, five days per week. What You'll Do Executive Director Support • Provide day-to-day administrative support to the Executive Director, including calendar management, scheduling, correspondence, and coordination of meetings and appointments., • Prepare for meetings by coordinating invitations, reminders, materials, catering, and other logistics; track follow-up items, commitments, and deadlines to help keep priorities on schedule., • Draft, format, proofread, and revise correspondence, reports, spreadsheets, presentations, and other materials., • Anticipate administrative needs, use sound judgment, and proactively follow through on outstanding items and priorities., • Assist with special projects and other priorities of the Executive Director. Office Management & Administration • Take ownership of the day-to-day organization and operation of the ICCFA office, helping maintain a professional, organized, and welcoming environment., • Monitor office supplies, kitchen supplies, equipment, and other workplace needs; coordinate with vendors and service providers and address issues as they arise., • Answer ICCFA's main phone line, respond to general inquiries, and route calls and messages appropriately., • Receive and distribute mail and deliveries and assist with outgoing shipments and other office logistics., • Coordinate internal office needs, staff celebrations, birthdays, lunches, and other activities as assigned., • Identify office needs or potential issues and take initiative to resolve them or bring forward recommended solutions. Association & Team Support • Provide administrative support to the Membership Department, including data entry, record updates, and maintaining accurate member and company information in ICCFA's Association Management System (AMS)., • Help process routine membership-related administrative requests and provide responsive service to members., • Support member mailings, materials, reports, lists, and other administrative or organization-wide projects, including assisting other ICCFA departments during busy periods., • Interact professionally and warmly with ICCFA members, volunteers, vendors, partners, and other stakeholders. What You Bring • Two or more years of relevant administrative, executive support, office management, customer service, or related professional experience., • Strong organizational and time-management skills, excellent attention to detail, and the ability to manage multiple priorities., • Demonstrated initiative and the ability to anticipate needs, work independently, and follow tasks through to completion without constant direction., • Excellent verbal, written, and interpersonal communication skills with a professional, service-oriented approach., • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint., • Comfort working with databases, CRM systems, or an Association Management System (AMS); association or nonprofit experience is a plus., • Sound judgment and discretion when handling confidential or sensitive information., • Associate's or bachelor's degree, or an equivalent combination of education and relevant professional experience. Salary, Benefits & Schedule • Salary range of $50,000-$55,000 annually, based on experience., • Medical, dental, and vision coverage; disability and life insurance; a 401(k) plan with employer contribution; vacation and sick leave; and paid holidays., • Full-time, in-office position based in ICCFA's Sterling, Virginia office, Monday through Friday., • Standard office hours are Monday-Friday, 9:00 a.m.-5:30 p.m. ET.
