Job Description Key Responsibilities 1. Program Oversight & Delivery • Develop comprehensive program plans covering scope, objectives, deliverables, timelines, and resource requirements for each project (lighting, solar, construction, energy storage, HVAC, etc.)., • Define project milestones, critical paths, and success criteria in collaboration with stakeholders., • Oversee daily execution, ensuring all phases (design, procurement, installation, commissioning, construction) progress according to plan., • Monitor project schedules, proactively identify delays or bottlenecks, and implement corrective actions., • Ensure all program activities align with client contracts, specifications, and company standards., • Manage multiple projects concurrently, prioritizing tasks based on urgency and impact. 2. Cross-Functional Coordination • Establish regular cross-departmental meetings to synchronize activities between sales, engineering, procurement, construction, logistics, and installation teams., • Clarify and communicate roles, responsibilities, and expectations for each team involved in the program., • Resolve interdepartmental conflicts and facilitate consensus on technical and operational issues., • Track and follow up on action items assigned to different teams, ensuring timely completion. 3. Client Relationship Management • Serve as the primary point of contact for clients throughout the program lifecycle, from kick-off to project closeout., • Lead client meetings to review progress, discuss changes, and address concerns., • Provide clients with regular, transparent updates on project status, milestones achieved, and upcoming deliverables., • Proactively identify potential client issues and resolve them before they escalate., • Gather client feedback post-project and ensure lessons learned are incorporated into future programs. 4. Resource & Budget Management • Prepare detailed resource allocation plans, ensuring sufficient personnel, materials, and equipment for each project phase., • Track actual resource usage against plans, adjusting allocations as needed to optimize efficiency., • Develop program budgets, monitor expenditures, and forecast financial performance., • Approve purchase orders, invoices, and change orders in line with budget constraints., • Report budget variances to management and recommend cost-saving measures or process improvements. 5. Quality Assurance & Compliance • Collaborate with engineering and quality teams to define quality requirements and inspection criteria for each project., • Schedule and oversee quality checks at key project milestones (e.g., material inspection, construction, installation)., • Ensure all work complies with relevant codes, standards (NEC, UL, ASHRAE, local building codes), and safety regulations., • Document and address any non-conformities or defects, coordinating corrective actions and preventive measures., • Maintain up-to-date records of certifications, permits, and compliance documentation for each program. 6. Reporting & Documentation • Maintain comprehensive program documentation, including schedules, budgets, change orders, meeting minutes, risk registers, and client communications., • Prepare and present weekly/monthly status reports to senior management, highlighting progress, risks, issues, and recovery plans., • Document all project changes, including scope modifications, schedule adjustments, and cost impacts, securing client and internal approvals., • Ensure all project deliverables and documentation are properly archived for future reference and audits. 7. Continuous Improvement • Conduct post-project reviews to analyze successes, failures, and lessons learned., • Develop and implement process improvements based on feedback from clients, team members, and stakeholders., • Benchmark Sunsprint’s program management practices against industry standards and best practices., • Lead initiatives to adopt new technologies, tools, or methodologies that enhance program delivery and customer satisfaction. 8. Team Leadership & Development • Mentor and coach project managers, coordinators, and support staff, providing guidance on project management best practices., • Identify skill gaps within the team and organize targeted training sessions., • Foster an environment of collaboration, accountability, and high performance., • Set clear goals and performance metrics for team members, conduct regular reviews, and provide constructive feedback., • Encourage knowledge sharing and continuous professional growth within the program management team. Recommended Qualifications Education: • 5+ years of program or project management experience in construction, renewable energy, electrical, energy solutions, or related industries., • Excellent leadership, organizational, and communication skills., • Strong problem-solving and decision-making abilities., • Proficiency with project management tools (e.g., MS Project, Smartsheet, Asana, Trello)., • Ability to manage budgets, schedules, and resources across concurrent projects., • Experience working with cross-functional teams (Sales, Engineering, Operations, Procurement, Quality)., • Knowledge of construction, renewable energy, and energy efficiency standards is a plus.
