We currently have more than 90 team members and expect to grow by approximately 35% by year-end. We are adding a talented Office Manager to support our Team and help strengthen our operational and financial foundation as we scale. Position Overview The Office Manager is responsible for overseeing daily office operations, administrative systems, and internal coordination between field teams, project management, accounting, and leadership. This role is the backbone of the company—ensuring organization, follow-through, accuracy, and professionalism across all office functions. This position requires high productivity, strong communication, confidence, and the ability to thrive in a fast-paced, growing construction environment. Key Responsibilities Office & Administrative Operations • Manage day-to-day office operations and workflow, • Maintain organized digital and physical filing systems, • Ensure office standards, cleanliness, and professionalism, • Act as the primary point of contact for internal office coordination, • Support leadership with scheduling, documentation, follow-ups, and task tracking, • Implement and maintain office processes, checklists, and standards Accounting & Financial Support • Support bookkeeping and accounting functions (QuickBooks experience preferred), • Assist with:, • Invoicing, • Job costing support, • Payroll coordination, • Accounts payable & receivable, • Ensure documentation is complete, accurate, and submitted on time, • Coordinate with the Financial Controller and external partners as needed Project & Operations Support • Support Project Managers with:, • Contract documents, • Change order tracking, • Compliance paperwork, • Client documentation, • Track and organize job files, permits, insurance, and required project documents, • Ensure internal processes are followed consistently across all projects HR & Team Member Support • Assist with onboarding and offboarding of team members, • Maintain personnel files and required documentation, • Support time tracking and payroll coordination, • Help uphold Team RRE culture and standards across the office, • Support internal communication between office staff and field teams Communication & Culture • Serve as a professional, calm, and solution-oriented communicator, • Uphold Team RRE standards for emotional control, accountability, and respect, • Ensure emails and documentation follow company standards (including full job name and full job address in subject lines), • Reinforce Team RRE’s culture of standards, positivity, and a winning mindset Reporting Structure & Authority • Reports directly to: Leadership / Operations / Financial Controller (as assigned), • Works closely with: Project Managers, Field Leadership, Accounting, and Executive Team, • Has authority to:, • Enforce office standards and procedures, • Hold team members accountable to administrative deadlines, • Recommend process improvements and system changes Success in the First 90 Days • Office systems are organized, documented, and running smoothly, • Invoicing, payroll support, and documentation are accurate and timely, • Project files are complete and easy to audit, • Communication between office, field, and leadership is consistent and professional, • Leadership feels supported and confident in office operations Key Performance Indicators (KPIs) • Timeliness and accuracy of invoicing and payroll support, • Organization and completeness of job and personnel files, • Responsiveness to internal and external communication, • Reduction in administrative errors or missed deadlines, • Overall office efficiency and leadership satisfaction Required Qualifications • 3+ years of experience as an Office Manager or Senior Administrator, • Experience in construction or trades strongly preferred, • Strong organizational and time-management skills, • High level of attention to detail, • Confidence communicating with leadership, clients, and field teams, • Ability to manage multiple priorities without losing accuracy, • Proficient in Google Workspace, • QuickBooks desktop experience preferred Preferred Qualifications • Experience in commercial construction or electrical contracting, • Understanding of job costing and construction workflows, • Experience supporting a growing company with evolving systems Core Competencies • Very High productivity, • Ownership mentality, • Strong follow-through, • Calm under pressure, • Very organized and process-driven, • Positive, team-first attitude Why Join Team RRE • Strong culture built on values, not ego, • Growing company with a long-term vision, • Leadership that cares about people—not just numbers, • Opportunity to grow with the Team as we scaleCompany DescriptionWe are in the process of building the greatest Team in the industry, with a great culture that provides value to our clients and team members.
