Job Description The Shubert Organization is America’s oldest professional theatre company and the largest theatre owner on Broadway. SCHEDULED HOURS: Monday through Friday, with weekend and evening availability sometimes required. ESSENTIAL FUNCTION: The Executive Assistant to the President provides high-level administrative, operational, and personal support to the President of The Shubert Organization. This position requires impeccable organizational skills, sound judgment, discretion, and the ability to juggle multiple responsibilities in a fast-paced environment. The Executive Assistant will serve as the gatekeeper and right hand to the President—ensuring that their time, priorities, and commitments are managed seamlessly, while also handling a range of confidential business and personal matters. KEY RESPONSIBILITIESAdministrative & Executive Support • Manage the President’s complex calendar, including scheduling meetings, travel, board commitments, and personal appointments., • Act as the primary point of contact between the President and internal/external stakeholders., • Draft, edit, and prepare correspondence, memos, reports, and presentations on behalf of the President., • Coordinate meeting agendas, materials, and follow-up for internal and external meetings., • Track and manage deadlines, priorities, and initiatives requiring the President’s attention.Operational & Organizational Support, • Oversee travel arrangements, itineraries, and logistics for business trips., • Maintain an organized filing system of documents, contacts, and reference materials., • Liaise with senior leadership, staff, and board members to ensure smooth communication and alignment with the President’s vision and priorities.Personal Support, • Handle personal appointments, errands, and household/vendor coordination as needed to ensure the President’s personal life runs smoothly alongside professional responsibilities., • Manage personal correspondence, gifts, and charitable contributions on behalf of the President.Confidentiality & Discretion, • Serve as a trusted partner to the President, maintaining the highest level of discretion in all matters., • Manage sensitive information related to personnel, negotiations, finances, and personal matters with absolute confidentiality.QUALIFICATIONS REQUIRED:, • Minimum of 7-10 years of experience supporting a senior executive, ideally in the arts or entertainment industry., • Exceptional organizational skills with the ability to prioritize and anticipate needs in a rapidly changing environment., • Strong written and verbal communication skills; ability to draft polished correspondence and represent the President professionally., • High emotional intelligence, tact and judgment when working with a large range of stakeholders., • Demonstrated ability to handle confidential information with integrity and discretion., • Technologically proficient (Microsoft Office suite) with strong facility in MS Outlook., • Flexible, resourceful, and composed under pressure., • Availability outside of regular business hours, including evenings and weekends as needed., • Highly polished, professional and poised in all settings., • Strong work ethic, with a proactive, can-do attitude.
