Position Summary As the Production Warehouse Manager, you will lead the inventory tracking, warehouse operations, prep and quality control of all rental assets across both Art Seen Alliance and Austin Stage Rental. This role ensures rental gear and scenic elements are accurately inventoried, maintained, production-ready, properly stored, and shipped/delivered on schedule with high-quality standards. You will act as a key operational link between production planning, logistics, tech teams, and event execution. KEY RESPONSIBILITIES Inventory Management & Tracking * Maintain accurate, up-to-date inventory counts for all rental categories (staging, furniture, lighting, AV gear, props, signage, truss, drape, and accessories). * Conduct regular quality and quantity reporting on inventory status. * Implement and improve inventory tracking systems and digital documentation for easier movement tracking and asset lifecycle management. * Develop list of accessories for common rental packages to streamline prep and fulfillment. * Track, organize, and maintain shipping container inventory, including contents, condition, location, and deployment status across jobs and storage yards. Warehouse Operations * Oversee daily warehouse activities: pulling orders, prepping shipments, receiving returns, labeling, organizing storage, and maintaining cleanliness, safety, and efficiency. * Schedule and coordinate warehouse and shop crew assignments across multiple concurrent gigs, balancing prep needs, load-ins, strikes, and in-shop priorities. * Manage truck logistics, including scheduling deliveries, pick-ups, load timing, and return windows to ensure on-time execution of all rentals and productions. * Coordinate warehouse space usage and optimize layouts during active construction within the warehouse, coordinating around ongoing office build-outs and evolving shop layouts without disrupting production or rental fulfillment. Quality Control & Prep * Inspect all outgoing rental gear for functionality, structural integrity, cleanliness, and safety standards. * Demonstrate working knowledge of pipe and drape, truss, and staging, with the ability to break down components into parts, quantities, and configurations needed for accurate prep and load-outs. * Supervise repairs, maintenance, and restorative prep tasks for inventory—either personally or by coordinating with production/tech staff. * Ensure all sets of rental gear are complete, packed, and documented properly prior to dispatch for events. Team Leadership * Lead, train, and mentor additional members of our team; assign tasks and monitor output. * Provide direction, troubleshooting support, and clear communication on priorities and timelines to warehouse crew and cross-functional partners. Logistics Coordination * Collaborate with logistics and transportation teams (internal or third-party partners) to schedule pick-ups, deliveries, returns, and asset relocations. * Coordinate with production managers and event leads on timing, special handling requirements, and prioritized gear distribution. * Ensure proper documentation of inbound and outbound inventory movements. Expectations * Remain flexible to jump onto active jobs as needed, supporting on-site assembly, load-ins, and strike/breakdown when additional hands or leadership support is required. * We are a 24 / 7 business, including nights, weekends & holidays; hours will fluctuate with project schedules, but the general timing for this hire will be Monday through Friday, 9am-5pm; some weekend and evening work may be required. * This role includes a full-time paid 90-day trial period; upon successful completion, the employee will be formally onboarded and eligible for company benefits. QUALIFICATIONS Required * 3+ years of experience in warehouse management, inventory control, production logistics, or related operations roles—ideally in event rental, staging, scenic, or live production. * Strong organizational skills with meticulous attention to detail. * Familiarity with inventory management systems and spreadsheets (e.g., Google Sheets, Excel, or dedicated rental inventory software; ability to learn Good Shuffle). * Ability to lift heavy gear and operate warehouse equipment safely (pallet jacks, dollies, forklifts if certified). * Comfortable operating box trucks and company vehicles in support of warehouse logistics, deliveries, and event load-ins. * Excellent communication and collaboration skills across teams. * Strong problem-solving mindset with the ability to adapt in a fast-paced, deadline-driven environment. Preferred * Experience with event production, stage rentals, scenic inventory, or creative fabrication contexts. * Experience supervising and formalizing warehouse workflows or standard operating procedures. * Positive attitude and commitment to quality service delivery.
