Job DescriptionConcierge Outreach Assistant Location: Walnut Creek, CA Pay/Salary Range: $20–$23 per hour Part Time, 3 days per week onsite, Temp to Hire We are actively seeking a Concierge Outreach Assistant to join a trusted fiduciary services firm that supports clients with estates, trusts, and elder care planning in the Pleasant Hill area. In this visible front-line role, you serve as the polished first point of contact for prospective and current clients, manage outreach activities, and keep key information organized in the firm’s CRM and calendars. What You’ll Do, • Serve as the welcoming first point of contact for callers and website inquiries, listening carefully, identifying needs, and relaying accurate information to the Executive Director., • Check phone messages and online inquiries daily and promptly return calls to gather details, answer questions, and assist with scheduling client appointments., • Enter, maintain, and update contact information in the firm’s CRM/contact management software from inquiries, networking, and other outreach sources., • Keep calendars for Fiduciary Officers and the Executive Director current and accurate, coordinating initial meetings and ensuring preparation and follow-up are handled smoothly., • Coordinate outreach and marketing efforts, including email campaigns, social media posts, blog and website updates, and other community-facing communication under direction., • Edit and organize marketing collateral, workbooks, and other materials, ensuring files are updated, accessible, and aligned with current messaging., • Maintain a neat, organized workspace and filing system so information and paperwork are easy to locate and track., • Assist in planning and executing outreach and networking events, including sourcing vendors and providing on-the-ground event support; occasionally attend events or visit client homes., • Regularly communicate with the Executive Director about areas where you want to expand your skills, such as accounting fundamentals, software systems, or fiduciary topics. To Be Successful in This Role, You Bring:, • College degree preferred (BA); AA considered with additional directly relevant experience in estates, trusts, elder care, nonprofits, or related fields preferred., • Prior experience or clear interest in serving clients in estate planning, fiduciary services, senior services, or professional services environments., • Excellent written and verbal communication skills, with comfort speaking to a wide variety of people, including families, professionals, and community partners., • Intermediate-level skills in Microsoft Outlook, Word, and Excel, with the ability to quickly learn new software and tools., • High attention to detail, strong organizational habits, and a calm, service-oriented approach when handling multiple priorities., • Valid driver’s license, clean driving record, and current auto insurance, plus the ability to pass a background check and provide professional references.
