Job DescriptionDescription: The Workplace Experience Assistant is the ambassador of first impression for our firm at our Walnut Creek Office. This person in the role will create a welcoming and professional experience for everyone who walks through our doors or communicates with our firm. The Workplace Experience Assistant has an extraordinary customer service mindset and approach, attention to detail, and the ability to set the tone for every client visit or conversation. Duties and Responsibilities • Greet and welcome clients and guests in a timely, courteous, warm, and professional manner in-person and via email and phone, • Deliver prompt, courteous, and knowledgeable support to ensure a positive customer experience at every touchpoint, • Collaborate with team members to deliver consistent and high-quality service across all touchpoints, • Maintain the reception area, lobby and office; refresh amenities and foster a welcoming and crafted experience for employees, clients, and guests, • Plan, coordinate, and execute on-site events, bringing to life the operational vision for each event and shaping exceptional guest experiences, • Oversee employee hoteling, meeting conference room scheduling, visitor offices, and coordinate technology and catering requests when needed, • Provide essential support to lawyers, legal teams and the firm, all while maintaining a warm and positive attitude and possessing a high level of organization and attention to detail, • Resolve issues efficiently and effectively, aiming for first-contact resolution whenever possible, • Manage scanning and uploading of documents, checks, and various other paperwork; to the designated software as needed, • Sign for and accept all packages, mail, and documents via courier., • Create, modify, and improve organizational processes and procedures, • Monitor and order office amenities to keep the space well-stocked to create a concierge style environment, • Provide support to other departments in various capacities as needed, • College degree preferred, especially in business, office administration or hospitality-related fields, • Relevant office support experience, particularly in corporate, customer service or hospitality environments; prior front-desk, concierge or receptionist experience preferred, • Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy, • Strong attention to detail, accuracy in record-keeping, and ability to manage mail, inventory, office supplies, and office upkeep tasks proactively Equal Opportunity Employer Kahana Feld provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws. Job Type Full-Time, Non-Exempt Supervisory Responsibilities None Work Location In-Office Work Schedule 8:30am - 5:30pm Monday-Friday. Occasional weekends and holidays. Salary Range $25.00 - $35.00/hour Physical Requirements Primarily sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodations.
