Executive Assistant (Full-Time, In-Person) London | £30,000 – £35,000 gross per annum + performance-based bonus and progression opportunities post probation Full-time: 40–45 hours per week About Metalchemy® Metalchemy® is an innovation-driven startup developing sustainable solutions using patented gold and silver colloids across food, healthcare, and cosmetics. Our work focuses on improving global wellbeing through science and sustainability. The Role This is a hands-on, execution-focused role. Your primary responsibility is to bring structure and clarity to day-to-day activities, ensuring priorities are organised, tasks are tracked, and work is completed accurately and on time. You will take a proactive approach to identifying what needs attention, following up on outstanding items, and ensuring nothing falls through the cracks without requiring constant direction. A key part of this role is improving efficiency and reducing manual workload through the use of simple digital tools and systems (e.g. scheduling tools, CRM, task trackers). The goal of this role is to reduce friction in day-to-day operations and ensure tasks are completed efficiently, enabling the CEO to focus on higher-value work. This role is ideal for someone who: • Is highly organised and dependable, with a strong sense of responsibility, • Takes pride in accuracy and attention to detail, • Enjoys structured, process-driven work and keeping things well organised, • Is proactive and takes ownership of tasks, ensuring things are followed through to completion, • Enjoys working at the intersection of innovation and business, • Wants to grow into a broader operations role over time What You’ll Be Doing • Manage the CEO’s calendar and schedules, ensuring priorities are clear, conflicts are resolved, and time is used effectively, • Prepare agendas, take clear and structured notes, and ensure all actions are tracked and followed through to completion, • Maintain task lists, trackers, and internal systems, taking ownership to ensure deadlines are met and nothing falls through the cracks, • Draft, proofread, and format emails, documents, and reports to a high standard of accuracy and professionalism, • Maintain CRM (HubSpot) and internal systems (e.g. Monday), ensuring all data, notes, and records are accurate, complete, and up to date, • Coordinate meetings, events, and travel logistics end-to-end, ensuring smooth execution and strong attention to detail, • Act as a central point of coordination between the CEO, clients, partners, and suppliers, ensuring clear communication and timely follow-ups, • Support finance and administrative processes, including invoices, purchase orders, payment tracking, and key documentation, • Support marketing coordination, including scheduling content, maintaining organised materials, and creating basic content for social media and newsletters, • Conduct research and prepare clear, structured summaries and briefing notes when required, • Maintain documentation, trackers, and records in line with internal processes and quality standards (including ISO9001 where applicable), ensuring consistency, accuracy, and proper version control, • Use digital tools and systems (e.g. CRM, task trackers, scheduling tools) to organise workflows, track deadlines, and improve day-to-day efficiency, • Proactively follow up with clients, suppliers, and internal stakeholders to ensure deadlines are met, payments are received, and deliverables are completed on time, • Identify gaps or inefficiencies in processes and implement simple improvements to improve organisation, reduce manual work, and keep operations running smoothly What We’re Looking For • 2–4 years experience in an EA, admin, or operations support role, • Strong organisational skills and high attention to detail, with the ability to keep tasks structured, accurate, and up to date, • Reliable and proactive, with a strong sense of ownership and consistent follow-through on tasks, • Comfortable managing multiple priorities and deadlines in a structured and organised way, • Confident using digital tools such as Google Workspace, Excel, CRM systems, Microsoft Scheduler and Scheduling tools and task management tools (Monday.com), • Comfortable using AI tools (e.g. ChatGPT, Claude) to improve efficiency and reduce manual work, • Clear written communication skills, with strong attention to detail when drafting and proofreading documents, • Practical and solutions-oriented, able to identify what needs attention and take action without constant direction, • Knowledge of French and/or Italian is a plus Important to Know • This is an execution-focused role, not a strategic or leadership position, • You will work closely with the CEO to support organisation, coordination, and follow-through, • Occasional flexibility may be required to support across different time zones Working Pattern • Full-time: 5 days per week, • Fully in-person (South-West/ West London) Why Join • Work closely with the CEO and gain exposure across the business, • Build strong operational and organisational skills, • Be part of a growing, mission-driven startup, • Opportunity to take on broader responsibilities over time How to Apply Apply via LinkedIn or our application form.
