Job DescriptionDescription: Department: Development Location: McKenzie Regional Workforce Center Reports To: Senior Vice President of Development Exempt Salaried Position. Salary ranges between $55k-65k PRIMARY FUNCTIONS The Senior Director of Marketing and Events assesses and creates the Boys & Girls Clubs of Dane County (BGCDC) marketing plan creating marketing strategies in alignment with the brand standards, mission, vision, and organizational goals. They oversee and lead the planning, producing, and implementing marketing strategies through all appropriate marketing channels based upon competitors and market research. This position is also responsible for leading the planning, organizing, implementing, and administration of all facets of signature events for the Boys & Girls Clubs of Dane County (BGCDC) in accordance with the brand, mission, vision, and goals of BGCDC. They will support the strategic direction of BGCDC to achieve organizational fundraising goals while ensuring attendees and volunteers have a good experience and have a well-run event. The Senior Director of Marketing and Events ensures high quality work in a fast-paced environment and adapts to changing priorities. This role requires the ability to develop and maintain effective relationships internally with BGCDC management, staff, and coworkers and externally with media contacts, vendors, and sponsors. The Senior Director of Marketing and Events is also expected to be flexible and adaptable, taking on other duties to support the organization's objectives. ESSENTIAL DUTIES AND RESPONSIBILITIES Events 50%: · Lead the planning, coordination, and execution of major events, including conferences, galas, and community events. · Oversee event logistics, including venue selection, vendor management, and budget management. · Ensure events meet organizational standards and deliver a high-quality experience for participants. Give input on developing and executing Sponsorship Packages to meet event financial goals.? Ensure that sponsors’ benefits are administered. · Responsible for tracking event finances and following procedures for invoicing and in-kind contributions in budget tracker. · Oversee all volunteer, sponsorship, and attendee engagement is appropriately communicated and measured. · Develop overarching marketing strategy for each individual event to ensure the correct constituents see and register for the event. · Recruit, engage with, and manage event committees with event chairs to get their involvement to help achieve event goals. Marketing Strategy 35%: · Implement an annual marketing and event calendar that focuses on brand awareness and cohesive messaging. · Ensure all events are appropriately marketed and sponsorships and event materials are distributed and created within a specific timeline including ensuring sponsorship benefits are properly administered. · Work in collaboration with the Development Team to coordinate any event graphic design, communication needs, and print materials in a timely manner, including development materials, annual appeals, and reporting. · Oversee the creation and execution of integrated marketing campaigns across various channels (digital, print, social media, etc.). · Manage brand positioning, messaging, and content to ensure consistency and effectiveness while analyzing market trends, audience insights, and campaign performance to drive strategic decisions. · Collaborate with SVP to ensure all media engagements and relations are on-brand and executed in a timely manner and that we receive $500,000 of tracked media coverage (interviews, press releases, etc.). · Responsible for managing marketing requests, determining priorities and ensuring the timely completion of organizational marketing needs. · Develop 100 feature stories of Club members through our annual marketing plan. Leadership 15% : · Manage and mentor the marketing and events team, providing guidance, support, and professional development. · Support team with community-based events such as Pay It Forward, Koats for Kids, and Back to School. · Create a collaborative and creative work environment to achieve departmental goals. · Collaborate with other departments (e.g.,Operations, Education, Workforce Development) to support organizational initiatives and objectives, such as the annual report and solicitation messaging. · Build and maintain relationships with external partners, sponsors, and stakeholders. Additional Responsibilities: · Foster a collaborative and positive work environment, promoting teamwork and professional development. · Must be able to travel throughout Dane County. A valid WI driver’s license and insurance are required if using a personal vehicle. BUDGET RESPONSIBILITIES Responsible for achieving special events revenue goals of $800,000 annually, determining appropriate resources and special events expenditures in alignment with organizational budgets. Manage all aspects of annual market budget including appeals, advertising and social media tracking. RELATIONSHIPS Internal: As an integral part of our team, you will maintain close, daily contact with Club staff (both professional and volunteer), and your supervisor. This continuous communication ensures the seamless exchange of information, facilitates discussions on pertinent issues, clarifies guidelines and instructions, provides instruction and guidance, and offers counseling when necessary. External: Externally, you will maintain contact as needed with various vendors, community groups and other stakeholders to foster collaborative relationships and assist in resolving any arising issues. By actively engaging with these external partners, you contribute to creating a supportive network for the organization. Desired course of study: event planning, marketing, design, communications, fundraising, philanthropy, or equivalent experience · Three to five years work experience in a non-profit agency, community organization or equivalent experience. · Three to five years of experience managing marketing campaigns and or special events. · One to two years of experience supervising staff preferred. Excellent knowledge of office management software (Google Suite, MS Office Suite). · Demonstrated ability to organize, direct and coordinate operations; in personnel supervision, the recruitment and retention of key personnel; facilities management; and budget management. · Ability to establish and maintain effective working relationships with Club staff, subordinates, Board members, community groups, and other related agencies.· Ability to manage multiple tasks and to develop solutions to problems with limited supervision. Required Hours Typical working hours, including required holidays and travel. This position is classified as exempt full-time regular, requiring availability during operational hours (typically 9:00 am - 5:00pm) to fulfill the essential duties of the role, which will include working on holidays, weekends, and evenings as necessary to support events. The position requires travel to off-site Clubs, meetings, and events.
