Job DescriptionAdministrative Assistant - Contract Location: Weatherford, OK Employment Type: Contract Pay: competitive Salary based on experience Job type: Full Time Schedule: Monday-Friday 8-5 on site Position Summary We are seeking a professional and customer-focused Administrative Assistant to provide comprehensive front-office and administrative support for a busy vocational services office. This role serves as the primary point of contact for clients, visitors, and staff while supporting a team of counselors, technicians, and specialists. The ideal candidate will have strong communication skills, excellent organizational abilities, and the capacity to manage multiple priorities in a fast-paced environment. Key Responsibilities • Greet clients, visitors, and staff in a professional and welcoming manner., • Answer and direct incoming phone calls while providing outstanding customer service., • Schedule, confirm, and coordinate appointments for counselors and staff., • Maintain accurate records and perform high-volume data entry., • Process incoming and outgoing mail and distribute correspondence., • Monitor and replenish office supplies and informational materials., • Assist counselors, technicians, and specialists with daily administrative tasks., • Operate office equipment including printers, copiers, scanners, and computers., • Maintain confidentiality and handle sensitive client information appropriately., • Support office operations to ensure efficient service delivery.Qualifications, • Previous administrative, receptionist, customer service, or office support experience preferred., • Strong phone etiquette and professional communication skills., • Excellent interpersonal and customer service abilities., • Proficient data entry and computer skills., • Ability to prioritize tasks and manage multiple responsibilities., • Strong attention to detail and organizational skills., • Experience scheduling appointments and maintaining calendars preferred., • Ability to operate standard office equipment, including printers, copiers, scanners, and multi-line phone systems., • High School Diploma or GED required.Desired Skills, • Friendly, professional demeanor., • Dependable and self-motivated., • Strong problem-solving abilities., • Ability to work effectively with diverse populations., • Team-oriented mindset with a willingness to support multiple staff members.Work Environment This position provides administrative support to a team that includes: • Vocational Rehabilitation Counselors, • Vocational Rehabilitation Technicians, • Services for the Blind and Visually Impaired Counselors, • Services for the Blind and Visually Impaired Technicians, • Orientation & Mobility SpecialistsIf you enjoy helping others, thrive in a customer-facing environment, and have strong administrative skills, we encourage you to apply.
