Role Description Copford is seeking an experienced coordinator to support real estate transactions, investor relations, corporate entity compliance, records management and general office management. This full-time, in-office role is based in the Denver Tech Center/Belleview Station and works closely with three members of Copford's executive team: a Copford Principal, the General Counsel, and the Director of Finance. The position touches a wide range of transactional, legal, finance, investor relations, technology and compliance work across an active portfolio of hospitality, debt, and private equity investments. Ideal candidates have experience in real estate investment organizations, law firms, financial institutions, title company or other corporate settings. Key Responsibilities Transaction Coordination • Manage real estate and other transaction documents, working closely with Finance, Legal, and Asset Management teams on loan closings, acquisitions, dispositions, development, joint ventures, investments, and other contract matters, • Coordinate signatures, track open items and diligence materials, review documents for accuracy, assist with term negotiations, coordinate with Legal and Finance teams to ensure timely completion and maintain transaction files, • Assist the General Counsel in preparing legal documents and contracts; accurately review and prepare materials including documents, reports, memos, briefings, presentations, and forms, ensuring completeness, • Coordinate title company processes, request title commitments, updates, and ownership/encumbrance reports. Track receipt, provide commitments to internal/external partners, maintain commitment records with appropriate transaction, work with counsel on title clearing activities, • Research, compile, and analyze data for projects; track project deadlines; and assist in implementing systems and procedures K-1 and Investor Relations Operations • Coordinate receipt of tax forms from investment entities and third-party investment managers, distribute them to tax advisors and internal stakeholders, and distribute tax forms and materials through the company's investor relations platform (Juniper Square), • Receive investor requests and coordinate responses with IR principals, Finance, and Legal, • Coordinate the upload and distribution of investor relations materials and investment subscription materials, • Maintain investor relations platform with accurate information provided by investors Corporate Entity & Records Management • Lead the company's recordkeeping system (SharePoint), including folder structure design, file retention, and related compliance tasks, • Oversee corporate entity compliance for all entities within the Copford organization, • Coordinate and oversee external corporate services providers (primarily CSC) to file annual reports, entity filings, and foreign qualifications, ensuring timely and accurate submissions, • Assist in filing and tracking trademark filings and renewals in coordination with outside law firms, • Assist Legal and Finance teams in preparing organizational charts and organizational documents General Office Management • Oversee law firm invoice processing, including reviewing for accuracy, coordinating approvals, submitting to the accounting team, and tracking overall expenses, • Assist in collecting data and materials for insurance applications and coordinate with outside insurance brokerage teams, • Coordinate office vendors and suppliers for services and materials, • Support coordination with technology vendors and assist with technology projects as assigned, • Manage access to technology platforms related to the role (CSC, Juniper Square, SharePoint, etc.), • Participate in occasional planning and coordination of company events, • Provide general support for other office, investment, finance, IR, and legal functions as assigned Qualifications • 3+ years of experience working as a paralegal, contracts administrator, title company transaction coordinator, or other relevant experience in commercial real estate transactions or real estate finance, • Strong command of the Microsoft Office suite and demonstrates a high comfort level in learning new and emerging software platforms and technologies, • Notary license, or ability to obtain and maintain one promptly, • Exceptional organizational and time-management skills, • Unquestionable integrity, with a detail-oriented focus on accuracy and compliance, • Strong communicator, able to engage professionally with internal teams and external stakeholders, • Proactive and adaptable, with the ability to manage responsibilities independently and juggle competing deadlines, • Committed to continuous improvement in communication and process management, • Highly responsive, with the ability to build strong working relationships, • Passionate about contributing to the success and growth of the organization Compensation & Benefits • Salary range: $90,000 and $110,000, • This is an exempt, salaried position. The salary for this position generally ranges between. This range is an estimate, based on potential employee qualifications, operational needs and other considerations permitted by law. Actual salaries will vary and may be above or below the stated range based on various factors including, among other factors, location, education and training, experience, internal pay alignment, and performance. A potential new employee’s salary history will not be used in compensation decisions. Many candidates’ compensation will start in the bottom half of the stated range.
