Job Title: Proposal & Graphic Design Coordinator Supervisor: Director of Marketing and Sales / Marketing and Communication Manager Summary: The Proposal & Graphic Design Coordinator is the visual voice of Catalyst: protecting, shaping, and elevating the brand across proposals, content creation, digital platforms, and external communications. This role blends creative design with strategic communication, supporting fast-moving pursuits and high-impact marketing initiatives. PROPOSALS & PURSUITS • Lead the development of proposal materials from rough draft to polished final product, writing, formatting, coordinating, and keeping everyone on track, • Support award submissions, press releases, presentations, and company communications with strong visuals and messaging, • Maintain a sharp eye for accuracy, brand consistency, and compliance with RFP requirements, • Manage and update project profiles, resumes, and other boilerplate information so the team is always working from the latest and greatest, • Champion the company’s visual identity, protect it, evolve it, and make sure it shows up consistently in every office, jobsite, proposal, and touchpoint, • Create and update marketing collateral, including brochures, email marketing, print, presentations, campaign graphics, and digital assets, • Design integrated marketing campaigns that show up powerfully across digital and print, • Support blog and social content with strong visuals, including illustrations, infographics, and promotional imagery, • Manage and curate the internal image and content libraries to keep photography and assets organized and accessible, • Collaborate with outside vendors on photography, video, website design, and other creative services, • Advise on design best practices and keep the team informed about what’s working and what can work even better, • Provide graphic and marketing support to departments across the company and offices as needed, • Help maintain company website content, including project pages and image libraries, • Support social media content development with graphics, visuals, and timely updates that strengthen brand presence and engagement., • Create internal communications and announcements that feel professional, polished, and on-brand, • Collaborate with the marketing team on timelines, deliverables, analytics, and continuous improvement, • Attend meetings and trainings as assigned, • Take ownership of assigned projects and see them through to completionRequirements:, • Bachelor’s degree in graphic design, communications, marketing, or a comparable mix of education and experience, • 3–5 years of firsthand experience in marketing, design, or communications, you have been in the arena, not just watching from the stands, • Experience in construction, architecture, or engineering is a bonus, but not a barrier, you don’t have to speak the language yet, just be ready to learn it, • 1+ years in proposal development OR 3+ years in a fast-paced marketing or administrative role where deadlines and details matter, • Fluent in Adobe Creative Suite and Microsoft Office; comfortable putting Canva to work when needed, • Skilled at transforming technical information into polished, compelling proposal documents and visual content, • Strong creative instincts and a sharp design eye, you can see the big idea and make it real, • Passionate about digital, social, and integrated marketing, you understand the channels and how to make them work together, • Natural collaborator and relationship-builder, people like working with you, and it shows, • Confident communicator with strong writing and editing skills, • Highly organized, self-driven, and capable of juggling multiple deadlines without losing your cool (or your attention to detail), • Works well with a team spread out across different locations, distance doesn’t faze you, • Familiarity with A/E/C terminology and processes is great, but curiosity and willingness to dive in matter just as much, • Excels under pressure and tight timelines, you know the last-minute proposal push is all part of the game, • Regularly required to move, sit, and bend for various hours throughout the day, • Reliable transportation, • Ability to travel to job sites even in inclement weather Added Advantage Qualifications: • CRM experience, specifically HubSpot, • Website design and development experience, specifically with WordPress
