Job Description Company Overview: Premier Mechanical Services, Inc. is a commercial HVAC company specializing in plan and spec and design / build work in a variety of sectors. We’re looking for a skilled Bid Coordinator to join our team and help drive our bid process, ensuring accurate and timely submissions. Job Summary: You’ll play a key role in organizing and managing bid packages, communicating with subcontractors, and supporting the estimating team. Your attention to detail and ability to multitask will help us secure valuable projects and keep everything running smoothly. Responsibilities: · Bid Packages: Prepare and organize bid packages, including addenda, bid opening info, delivery details, and any required copies or documents. · Bid Coordination: Handle the ordering of bid bonds, collecting necessary insurance, and ensuring all required materials are scanned and ready before submitting bids. · Communication: Send out RFIs, follow up with subcontractors for pricing, and address questions from vendors and subs. · Proposal Preparation: Organize and prepare physical bid folders, including target forms. Prepare, revise quote sheets. updated quotes, and other essential bid documents. · Bid Tracking & Updates: Download and track potential new bids, update bid log/board/app, and maintain PMS bid qualification documents. · Site Visits & Bid Openings: Schedule and attend site visits, as well as bid openings, to ensure all necessary information is gathered. · General Admin: Assist with administrative tasks such as filing and answering phones. · Requirements: · Experience in mechanical estimating or construction is preferred. · Strong organizational skills and ability to handle multiple tasks simultaneously. · Excellent written and verbal communication skills. · Proficiency in Microsoft Office (Excel, Outlook, Word). · Familiarity with bid submission processes and construction documentation.
