Job Description Position Overview The Executive Assistant provides high-level administrative and operational support to senior leadership within the construction company. This role ensures smooth day-to-day operations by managing schedules, coordinating communications, and handling confidential information. The Executive Assistant acts as a trusted partner to executives, enabling them to focus on strategic priorities while ensuring organizational efficiency. Key Responsibilities * • Manage executive calendars, schedule meetings, and coordinate travel arrangements., • Prepare reports, presentations, and correspondence for internal and external stakeholders., • Handle confidential information with discretion., • Assist in tracking construction project deadlines, deliverables, and documentation., • Coordinate communication between executives, project managers, and field teams., • Maintain organized records of contracts, permits, and compliance documents., • Serve as the first point of contact for executives, screening calls and emails., • Draft and edit professional communications, including memos and meeting notes., • Liaise with clients, vendors, and partners to ensure timely responses and follow-ups., • Organize executive and team meetings, including preparing agendas and minutes., • Support planning of company events, site visits, and leadership workshops., • Oversee supplies, equipment, and administrative resources for executive offices., • Support HR and finance teams with onboarding, payroll documentation, and expense reporting. Qualifications • Proven experience as an Executive Assistant, Administrative Assistant, or similar role., • Strong organizational and time-management skills with the ability to multitask., • Excellent written and verbal communication skills., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)., • Ability to work independently and handle sensitive information with integrity., • Prior experience in the construction industry or related field preferred.
