Job DescriptionDescription: The Administration Project Coordinator serves as an administrative, marketing and operations liaison to provide project management, coordination, and organization to special projects that interconnect between CRCD, CRCD Enterprises, and CRCD Partners. This position is a key member of the CRCD administration team and department. The coordinator will report to the Director of Marketing and Communications and play a critical role in providing project management oversight for special projects that lead to completion. The goal of this position is to ensure all operational, marketing, and administrative projects are aligned with CRCD’s mission, vision, and overall strategic goals, which lead to long-term infrastructure sustainability. The coordinator will ensure interagency collaboration is strengthened by managing project progress, timelines, and assisting with coordination and facilitation. As a key team member of the administration department, the coordinator will provide support for facilities operations & maintenance, marketing and communications, entity work plan progress tracking, policy and procedure training and implementation, and meeting coordination and facilitation. The coordinator will play a key role in bolstering the ecosystem of CRCD to promote interagency collaboration, while sustaining project success. Other functions of the coordinator include: • Lead projects from deployment, identifying schedules, scope, progress tracking, and implementation plans., • Analyze interagency project status and, when necessary, revise project details, schedule, or budget to ensure that project requirements can be met., • Establish and maintain relationships with relevant internal and external stakeholders, providing day-to-day contact on project status and changes., • Establish and maintain processes for managing projects during the lifecycle, setting quality and performance standards, and assessing impacts., • Report project outcomes and/or risks to the appropriate management channels and escalate issues, as necessary, according to the project plan., • Lead entity meeting coordination between all three entities., • Assist with marketing and communications project implementation and strategies., • Oversee CRCD facility branding installations., • Provide facility operations support and maintenance coordination in collaboration with CRCD Enterprises., • Provide annual entity, department, and individual work plan implementation, coordination, and tracking support to the Director of Marketing and Communications, Chief Operations Officer (COO) and Senior Director of Learning and Evaluation., • Collaborate with Director of Marketing and Communications and the COO to establish and implement a policy and procedure training and implementation plan on a quarterly/annual calendar., • Support the marketing and communications team to track, edit, and communicate internal policy and procedure enhancements and implementation., • Develop and disseminate internal and interagency directives that are vetted and approved by the C-Suite team., • Coordinate and facilitate the following monthly and quarterly meetings:, • Monthly Leadership Team Meeting (Directors and Above), • Quarterly All Staff Meeting (In collaboration with the COO), • Monthly Operations Team Meeting (In collaboration with the Executive Assistant)Track interagency project completions. Including regular updates, email communication, meeting facilitation, etc., • Provide events coordination support to Director of Marketing and Communications., • Collaborate with human resources and agency leadership to coordinate and facilitate CRCD World Tours (All service delivery and PSH sites)., • Create and support a high performing culture of administrative and operational support that is aligned with CRCD mission, vision, and core values., • Collaborate with the fiscal and accounting team to ensure expenditures align with project completion (Facilities, furniture, maintenance, repairs, entity events, etc.), • Continuously strives to improve the quality and effectiveness of all programs, while maintaining brand integrity., • Responsible for managing vendor communication and relationships and staff as needed to deliver projects on time and on budget., • Uphold CRCD’s Mission Statement and 5 Year Strategic Plan., • Other duties assigned by the Director of Marketing and Communications.Requirements:, • Experience within the construction trades and/or four or more years of project management experience., • Strong attention to deadlines and project coordination guidelines., • Proven success working with all levels of management., • Excellent written and verbal communication skills., • Strong project management skills and ability to multi-task., • Demonstrated ability to work on multiple projects simultaneously, and to meet deadlines., • Reliable transportation, valid driver’s licenses, and car insurance as required by law, as appropriate. $55,000-$70,000 annually BENEFITS CRCD is in the top 10% for excellent employee benefits for non-profit organizations. • Dental, vision, medical benefits: CRCD offers 85% employee paid and 40% dependent paid benefits., • 401K eligibility to participate from day one and up to 3% matching after one year., • Flexible Spending Account (FSA), • Short-Term & Long-Term Disability, Accident, and Hospital Indemnity, • Whole Life Insurance, College Funding Plans/529 Savings Plan from Principal, • Pet insurance, Legal/ID Theft, • Generous work/life balance, • 14 paid holidays All candidates are subject to a criminal history check and meet CRCD’s criteria regarding criminal history and must pass background check conducted by LA County.
