Job Description Equity & Justice Sr. Program Coordinator Office of Executive Director (OED) – Washington State Bar Association (WSBA) Salary Range: $53,286 to $53,286 + Washington State Employee Benefits FLSA - Full-time, Non-Exempt Application Deadline: 12/28/2025 The WSBA's mission is to serve the public and the members of the Bar, to ensure the integrity of the legal profession, and to champion justice. Purpose and Position Summary: The Equity and Justice Sr. Program Coordinator is part of the Equity and Justice Team at the Washington State Bar Association (WSBA) and sits within the Office of Executive Director department. The primary purpose of the Equity and Justice Sr. Program Coordinator is to provide administrative and programmatic support to the Equity and Justice Team. Primary Job Duties and Responsibilities: Entity Administrative Support: Under the direction of the Equity and Justice Manager and in partnership with other team members, this position provides varying levels of support which includes: • Drafting, finalizing, posting and archiving meeting minutes, preparing and distributing meeting materials to entities and posting on relevant websites, • Coordinating meeting scheduling including identifying and confirming meeting times via calendar polls, reserving zoom rooms or securing in-person meeting space (and booking catering and room set-up if needed), • Tracking meeting attendance including sending out calendar invitations and tracking attendance and quorum at the meetings, • Supporting volunteers with their access to SharePoint sites and other technology tools, • Process volunteer expense reimbursements and invoices for entity-related activities and events, • Send out communications to promote the entity and recruit potential new members, • Support the selection and appointment of new members by preparing application materials, tracking decision- making, drafting communications to applicants, and preparing appointment documentation., • Support the data collection and research for annual reports as needed, • Provide any other entity-related administrative support to the Equity and Justice Team member who serves as the primary staff liaison, • Assist Equity and Justice Team members with all aspects of event planning and execution which may include researching and securing venues which includes facilitating the execution of contracts and payments, working with WSBA staff for onsite events and external vendors for off-site events to coordinate room set-up, A/V and hybrid needs, catering, furniture and linen rentals, preparing event materials and supplies such as name tags, panel discussion table tents, programs, directional signage and sign-in sheets and providing day-of support., • Assist Equity and Justice Team members with planning and executing events so they are accessible to all attendees, which includes serving as the point person for accommodation and accessibility requests and researching and delivering ways to proactively make the event accessible (e.g., considering language access and access for people with disabilities)., • Assist Equity and Justice Team members with event marketing and outreach by facilitating collaboration with communication and outreach department for event promotion., • Provide support to attendees who have questions about the upcoming events and/or need accommodations., • Prepare event materials such as nametags, sign-in sheets, brochures, programs, etc., • Managing database and member information in assigned list serves., • Processing reimbursements, invoices and payments through WSBA’s expense system., • Facilitate the contract approval process using the Contract Management System., • Assist with the creation and administration of team-wide tools and procedures under the direction of the Equity and Justice Manager, • Fielding phone calls, monitoring program email inboxes (e.g., Equity and Justice, Access to Justice, Pro Bono) and responding to or referring inquiries to appropriate parties, • Maintain and update the Equity and Justice Team’s Blink pages Duties may include: • Support the Equity and Justice Team with assigned program administrative assistance which may include researching and ordering supplies, marketing and outreach for volunteers and partners, data collection and tabulation, and researching vendors., • Implement website updates for programs (ex, Pro Bono and Public Service Committee, Access to Justice Board, Alliance for Equal Justice, Council on Public Defense, etc.) and other team webpages as assigned., • Support the Equity and Justice Programs Lead by administering the annual pro bono recognition activities which include collecting data on WSBA members’ pro bono reporting, creating and sending the pro bono certificates, posting the Supreme Court Honor Roll and working with the Bar News staff to include recognition in communication channels., • Administer the Qualified Legal Services Provider application review and communicate decision upon the Chief Equity and Justice Officer’s review, • Assist with Equity and Justice Team-wide event and projects as neededEducation Required:, • High School Diploma or GEDEducation Preferred:, • College degree (e.g., Associate, Bachelors)Experience Required:, • A minimum of two years of experience in a mission-driven, organizational environment including experience working with volunteer boards and committees, and legal professionals., • Event planning experience.Experience Preferred:, • Familiarity with the Washington State levels of the organization., • Proficient with a variety of social media platforms and can quickly become proficient with WSBA’s content management system (website), member database, and list serve application., • A high degree of proficiency and experience with Microsoft Office and 365 programs and applications within Windows (i.e., Outlook, Word, Excel, PowerPoint, OneDrive, SharePoint, etc.), along with a strong technical aptitude to quickly learn others (including WSBA’s existing systems).Competencies (Skills/Abilities) Preferred:, • Demonstrated commitment to equity and justice through previous and/or current experience in jobs, volunteer roles, and educational endeavors, • General knowledge about access to justice issues in Washington state and the importance of working collaboratively with the larger equity and justice community. Employment with the Washington State Bar Association mandates that WSBA Staff must reside within the State of Washington at the time of hire, and during active employment status. The essential functions of the job that must be performed, with or without a reasonable accommodation: This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit/stand and use a computer, and lift/push/pull items weighing up to 25 pounds.
