Job Description Javaheri & Yahoudai, A Professional Law Corporation (J&Y Law), is seeking a highly organized and detail-oriented Records Clerk to support our Personal Injury and Elder Abuse litigation teams. This role is responsible for requesting, tracking, organizing, reviewing, and maintaining medical records, billing records, and case-related documentation. The Records Clerk plays a critical role in ensuring timely discovery responses, demand packages, and litigation readiness. This position is hybrid but primarily onsite due to essential in-office responsibilities, including physical mail processing, scanning, document handling, and coordination with litigation teams. Key Responsibilities Records & Document Management • Request, follow up on, and obtain medical records, billing records, and other case-related documents from providers, facilities, and third-party vendors., • Track records requests and follow-ups using Litify/Filevine or internal tracking systems., • Receive, scan, upload, name, and organize records accurately in the case management system., • Ensure records are complete, legible, and properly categorized., • Prepare records for discovery production, demands, mediations, and trial preparation., • Assist attorneys and paralegals with record compilation for depositions, hearings, and expert review., • Maintain strict confidentiality and HIPAA compliance at all times., • Process incoming mail and faxes related to records and discovery., • Maintain logs for records requests, follow-ups, and receipts., • Communicate with providers, custodians of records, copy services, and vendors., • Assist with process improvements for records workflows and turnaround times., • Meet internal service-level expectations for records turnaround. Qualifications & Experience Required • 1+ year of experience in a legal support, records, medical records, or administrative role., • Strong organizational and document management skills., • Experience handling confidential or sensitive information., • High attention to detail and accuracy., • Ability to work onsite reliably in Los Angeles., • Professional written and verbal communication skills., • Prior experience in Personal Injury, Elder Abuse, or litigation support., • Familiarity with Litify, Filevine, or similar case management systems., • Experience working with medical records, subpoenas, and HIPAA authorizations., • Bilingual (English/Spanish) is a plus.
