Scope: The Medical Assistant (MA) provides administrative and clinical support to the Headquarters Occupational Health Clinic (HQ OHC) located in Washington, DC. The MA supports the delivery of occupational health services by assisting clinical staff in the coordination, preparation, and execution of medical examinations, medical surveillance activities, and preventive health services for the personnel. Working under the supervision of the Registered Nurse (RN) Manager, the MA plays an integral role in supporting clinic operations, maintaining efficient patient flow, and ensuring accurate medical documentation. The MA assists healthcare providers by preparing examinees for evaluation, performing routine clinical procedures within the scope of MA practice, and supporting diagnostic testing associated with occupational health programs. The MA is responsible for performing administrative and clinical tasks including appointment scheduling, medical record management, data entry, and preparation of clinical documentation and correspondence. The MA also assists with occupational health testing and screening procedures such as vital signs collection, audiometric testing, pulmonary function testing (PFT), vision screening, electrocardiograms (EKG), and urine specimen collection for drug screening, in accordance with established protocols. The Medical Assistant supports the implementation and ongoing operation of the Occupational Health and Safety Program by assisting with scheduling and tracking required medical surveillance examinations, maintaining medical records in accordance with applicable privacy and regulatory requirements, and supporting the management of clinic supplies and vaccine inventory. The MA works collaboratively with physicians, nurse practitioners, registered nurses, and other clinical personnel to support safe, efficient, and compliant occupational health clinic operations. All services are performed in accordance with applicable federal regulations, occupational health standards, clinic policies and procedures, and ethical standards of healthcare practice. Responsibilities: The MA supports the daily operations of the HQ Occupational Health Clinic (OHC) by providing administrative and clinical assistance to healthcare providers and clinic leadership. Responsibilities include, but are not limited to, the following: Administrative and Clinic Support Organize and schedule appointments for occupational health examinations, medical surveillance testing, and clinic visits. Prepare administrative correspondence including appointment notifications, clinic forms, and documentation drafts for provider review. Perform data entry and generate reports related to clinic operations and medical surveillance programs. Maintain filing systems and assist with general administrative support activities for the clinic. Track and monitor completion of required medical surveillance requirements associated with the Occupational Health and Safety Program (e.g., medical examinations, required screenings, and training compliance). Clinic Support Prepare examinees for clinical evaluation by obtaining and documenting vital signs including blood pressure, pulse, temperature, respiratory rate, height, and weight. Assist healthcare providers during examinations and clinical procedures as directed. Explain basic clinical procedures to examinees and provide instructions consistent with clinic protocols. Perform clinical screening procedures within the Medical Assistant scope of practice including: o Vision screening o Audiometric testing o Pulmonary Function Testing (PFT) o Electrocardiograms (EKG) o Urine specimen collection Assist with specimen handling and preparation for laboratory testing in accordance with established protocols. Medical Record Management Maintain medical records in accordance with HIPAA requirements, privacy laws, clinic policies, and established medical protocols. Update, file, scan, and upload medical documentation into the designated electronic medical record system. Assist RN with occupational health record reviews, record management, and documentation support. Ensure medical records are complete, accurate, and properly maintained. Supplies and Equipment Management Assist with maintaining inventory of clinic supplies including medical equipment, testing supplies, and vaccines. Ensure treatment rooms and examination areas are properly prepared for clinical use. Clean and disinfect treatment rooms and medical equipment in accordance with infection control protocols. Maintain a clean, organized, and safe clinical environment. Documentation and Compliance Accurately document all clinical services, testing results, and immunizations in the designated medical record system. Maintain patient confidentiality and ensure compliance with HIPAA and applicable federal regulations. Participate in quality assurance activities and support efforts to maintain regulatory and program compliance. Qualifications: High school diploma or equivalent required. Graduate of an accredited Medical Assistant training program. Current Medical Assistant certification from a recognized credentialing organization such as Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), Certified Clinical Medical Assistant (CCMA), or equivalent. Current Basic Life Support (BLS) certification from the American Heart Association or equivalent recognized provider. Demonstrated clinical competency in performing vital signs, patient preparation, and basic clinical screening procedures. Experience performing or supporting clinical diagnostic testing such as audiometric testing, pulmonary function testing (PFT), vision screening, electrocardiograms (EKG), and specimen collection. Knowledge of medical terminology, clinical documentation practices, and medical record management. Proficiency using health records systems, medical scheduling software, and standard office applications. Strong organizational skills with the ability to manage multiple tasks in a clinical environment. Ability to maintain strict patient confidentiality and compliance with HIPAA and applicable privacy regulations. Ability to successfully pass and maintain required background investigations, including a Tier 4 (High-Risk Public Trust) background investigation, as required for work within a federal law enforcement environment. Must successfully pass and maintain required credentialing, background checks, and drug screening in accordance with federal contract requirements and Summit Healthcare Solutions policies. Preferred Qualifications: Two (2) or more years of experience working in a clinical healthcare environment. Experience working in an occupational health, employee health, or public health clinic. Experience supporting Experience performing audiometric testing, pulmonary function testing, and EKG procedures. Experience assisting with vaccination or immunization programs. Experience working in federal, government, law enforcement, or military healthcare environments. Associate degree in a health-related field. Experience performing chart audits, quality assurance reviews, and clinical documentation compliance activities. Experience working in federal, law enforcement, military, or government healthcare environments. Physical Requirements: Work is primarily performed in an interior clinical and office environment within a medical clinic setting. Ability to sit for extended periods while reviewing medical records, documenting clinical information, and performing administrative duties using computer systems. Ability to stand and walk for prolonged periods while performing clinical screening procedures, preparing examinees for medical evaluations, and coordinating clinic operations. Ability to perform routine clinical procedures including vital signs assessment, vision screening, audiometric testing, pulmonary function testing (spirometry), electrocardiograms (EKG), phlebotomy, specimen collection, and vaccine administration. Manual dexterity sufficient to operate medical diagnostic equipment, clinical instruments, and computer systems. Ability to lift, carry, push, or move medical supplies and equipment weighing up to 25 pounds. Ability to bend, stoop, reach, and perform repetitive hand movements associated with clinical procedures and equipment operation. Visual acuity sufficient to read medical documentation, diagnostic results, equipment displays, and electronic health records. Ability to communicate effectively with patients, medical staff, and other professionals in person and through electronic communication systems. Ability to maintain attention to detail and clinical judgment while performing diagnostic screening procedures and documenting medical information.
