Job Description Our expanding immigration law practice is looking for a Legal Secretary with strong knowledge of all aspects of immigration law who can hit the ground running as we build our perfect team. You will be a member of a dynamic and developing team. Applicants must be organized professionals who can work independently and with minimal supervision. Because this is a full-time position, you must work 40 hours a week in the office. Compensation is negotiable based on experience, with the option of obtaining bonus compensation for excellent performance. Characteristics: • Detail-oriented to keep track of key dates and avoid costly mistakes, • Self-starter with the ability to independently seek out new projects, • Team-oriented with the necessary flexibility of a growing law firm, • Excellent time management skills to prioritize tasks, so we never miss a deadlineCompensation: $48,000 - $54,000 yearly Responsibilities: • Speak with clients to provide quality service, answer basic procedural inquiries about their case, and obtain information about their legal difficulties, • Review and prepare all financial disclosures and statements, • Store case files and additional important information neatly arranged and immediately accessible, • Conduct legal research for motions, hearings, and additional attorney support, • Prepare legal documents, correspondence, affidavits, and pleadings such as complaints, interrogatories, subpoenas, deposition notices, pretrial orders, and legal briefs under the supervision of a lawyer, • Excellent VERBAL AND WRITTEN communication skills in English and SPANISH (MUST), • Assist attorneys with administrative and clerical tasks related to active immigration cases, • Prepare, print, scan, copy, and assemble legal packets and supporting documents for submission, • Format and proofread legal documents for grammar, spelling, completeness, and formatting consistency, • Organize case materials and prepare physical and digital files for attorney review, • Contact clients regarding appointments, biometrics, interviews, hearings, deadlines, and document requests, • Follow up with clients to obtain missing documents or information required to complete legal packets, • Conduct client intakes and gather preliminary case information for attorney review, • Answer incoming calls and direct client inquiries appropriately and professionally, • Contact USCIS and other government agencies regarding case updates, notices, and appointments, • Document all communications and updates accurately in the case management system, • Maintain organized physical and digital case files in compliance with confidentiality protocols, • Assist with mail processing, certified mail, shipping labels, and package tracking, • Support scheduling, coordination, and administrative follow-up for the legal team, • Assist with general office operations as needed Qualifications: • Familiarity using standard office equipment such as a scanner, copier, and printer, • Excellent organizational skills and time-management skills, • Knowledge of standard office administration software such as the internet, email, word processing, case management, time and billing, legal research, and document management is required, • Experience as a paralegal working closely with attorneys and clients on [[type of cases]], • This position requires you to agree to participate in a 20-question written interview that examines your knowledge, abilities, qualifications, habits, and behaviors (including attention to detail, communication skills, and technical legal knowledge), • Previous experience in office administration, legal support, or a related field preferred, • Immigration law experience is a plus — we will train the right person, • Bilingual in English and Spanish strongly preferred, • Strong organizational and multitasking abilities with excellent attention to detail, • Excellent written and verbal communication skills in English and Spanish, • Strong grammar, proofreading, and attention to detail when handling legal documents, • Professional phone etiquette and client-facing service skills, • Proficiency in Microsoft Office and/or Google Workspace required, • Experience with case management or document management software is a plus, • Comfortable working with standard office equipment: scanner, copier, printer, • Ability to work independently and as part of a team in a fast-paced environment, • Must be authorized to work in the United States, • Must be available to work 40 hours per week in the office About Company We are a legal services company dedicated to providing personalized legal guidance and support to individuals.
