Position Overview We are seeking a reliable and detail-oriented Receptionist / Administrative Assistant to support daily office operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys interacting with customers, and can effectively manage multiple tasks with accuracy and professionalism. Key Responsibilities • Manage a multi-line phone system with high call volume, including handling inquiries, service requests, and dispatch communications, • Schedule appointments for sales, installation, and service teams, • Assist customers with basic technical questions and troubleshooting, • Support billing, collections, and provide administrative assistance to the Bookkeeper and Operations Manager, • Review documents for accuracy, completeness, and proper formatting, • Maintain office supplies and ensure equipment is functioning (e.g., printers, copiers), • Draft routine correspondence and internal communications, • Organize, file, and maintain records, logs, and documentation, • Track and update client interactions, services provided, and call logs, • Process and distribute incoming/outgoing mail, • Lift and move items up to 25 lbs as needed Qualifications • Previous experience as a Receptionist or Administrative Assistant, • Bilingual in Mandarin or Spanish is a plus, • Strong written and verbal communication skills, • Highly organized, detail-oriented, and able to multitask effectively, • Excellent customer service skills with a professional and tactful approach, • Proficient in Microsoft Word and Excel, • Comfortable using Gmail and managing multiple Google Calendars, • Strong computer skills, including familiarity with PC systems and keyboard shortcuts, • Ability to quickly learn new software and systems, • Able to work independently and as part of a team, • Maintains confidentiality and handles sensitive information appropriately, • Ability to handle unexpected situations calmly and efficiently Requirements • High school diploma or GED required, • Valid driver’s license with a clean driving record, • Must pass pre-employment background and drug screening, • No smoking during work hours or near the building, • Limited personal phone use (emergency use only) Preferred (Highly Valued by Client) • Proficiency in Gmail and Google Calendar (managing multiple calendars simultaneously), • Strong PC skills (Windows/Dell environment), • Ability to demonstrate Microsoft Word, Excel, and typing proficiency (testing may be required) Security and Surveillance company.
