Job Description Position Title: Office Manager / Receptionist Location: Canyon Crest Preschool | 2323 Roscomare Road, Los Angeles 90077 Reports To: Preschool Director / Administration Job Type: Full-Time, Non-Exempt Position Summary The Office Manager is often the first point of contact for families and visitors and plays an essential role in creating a welcoming, organized, and professional school environment. This position supports the preschool's day-to-day administrative operations and serves as the primary point of contact for parents during drop-off and pick-up. The role requires excellent communication skills, strong organizational abilities, discretion with confidential information, and comfort using digital tools for communication and scheduling. Key Responsibilities: Front Office & Family Relations * Serve as the primary point of contact for families, visitors, and prospective parents. * Welcome families warmly during drop-off and pick-up to foster a friendly and supportive atmosphere. * Answer phones and emails promptly and provide accurate information about school programs, policies, and events. * Relay messages between parents, teachers, and administration in a timely and professional manner. * Schedule routine maintenance support as needed (per Licensing) or directed by the Director. * Maintain a calm, helpful presence in a busy school environment. Administrative Support * Schedule meetings and manage calendars for administration as needed. * Review applications for potential new-hires, schedule interviews, and issue/review onboarding paperwork (including employee bios) * Draft and distribute short memos, announcements, and parent communications. * Maintain organized office systems and records. * Receive and distribute incoming mail and packages. * Coordinate day-to-day operational needs such as scheduling vendors, repair technicians, and service providers. * On occasion, place orders as directed by administration (i.e., weekly snack) Technology & Communications * Utilize databases and digital systems to maintain accurate records and communications. * Create flyers, announcements, and visual materials using tools such as Canva. * Assist with school communications by ensuring that families receive timely, clear information. * Collaborate with administration on social media content that reflects the school’s brand and community. * Support overall technology use at the school; purchase, set-up, inventory, and troubleshoot Events & Special Projects * Assist with planning and coordination of school events and special projects. * Support major community events, including the annual fundraiser, seasonal celebrations, and school-wide gatherings. * Support Summer Camp; advertisement, and manage enrollment * Help prepare communications, materials, and logistics related to events. * Occasionally assist with event support outside of regular office hours. This may include a small number of evening or weekend commitments (approximately two per year). Confidentiality & Professionalism * Maintain strict confidentiality regarding student, family, and staff information. * Uphold professional standards when handling sensitive communications and records. Collaboration & School Community * Work closely with teachers and administrators to support the smooth operation of the school day. * Contribute to a positive, respectful, and collaborative workplace culture. * Help maintain an organized, welcoming office environment for families and staff. Qualifications * Bachelor's Degree Preferred, but not required. * Strong interpersonal and communication skills; warm, friendly, and approachable demeanor. * Excellent organizational and multitasking abilities. * Proficiency with common office software and digital tools (Google Workspace: email, scheduling, and other databases). * Experience using design tools such as Canva preferred. * Comfort managing multiple priorities in a busy school environment. * Ability to maintain confidentiality and professionalism at all times. * Prior experience in an administrative, receptionist, or school office role preferred. * Ability to work effectively as part of a team and independently.
