Job Description BCforward is currently seeking a highly motivated Onboarding Specialist for an opportunity in Minneapolis, MN. Position Title: Onboarding Specialist Location: Minneapolis, MN Duration: 6 Months (extension possible, not guaranteed) Anticipated Start Date: ASAP Pay Rate: $25 to $26/hr on W2 Job Description We are seeking an experienced Onboarding & I-9 Compliance Coordinator to deliver a seamless and compliant onboarding experience while ensuring strict adherence to federal employment eligibility requirements. The ideal candidate will have strong experience in HR onboarding operations, I-9 compliance, and case management using platforms such as Workday and ServiceNow and a proven ability to manage high-volume caseloads, maintain audit-ready documentation, and meet service level agreements. Responsibilities: • Facilitate end-to-end onboarding from pre-employment through post-hire with clear guidance and timely support for new hires and managers., • Oversee daily I-9 activity including review of Section 1 and Section 2, reverifications, and remediation of overdue or missing requirements within federal timelines., • Manage an active caseload through the Case Management System, respond to inquiries, and meet defined SLAs., • Escalate complex issues involving candidates, employees, managers, HR partners, or vendors as needed., • Maintain current knowledge of company policies, procedures, employment eligibility regulations, and risk-based processes., • Support operational audits, documentation reviews, and compliance monitoring., • Protect sensitive information by upholding high standards of confidentiality., • Utilize HR platforms such as Workday and ServiceNow to manage onboarding workflows, I-9 tasks, and case documentation., • Deliver a high-quality customer experience through clear, accurate, and proactive communication., • Create requests for provisioning equipment and security access for timely access to applications, email, phones, computer equipment, and peripherals., • Partner with retail and expansion markets to support recruiting, hiring, and new hire activations aligned to scheduled start dates., • Provide proactive communication to managers and support teams and coordinate enrollment into required training programs, including adjustments for start date changes., • Consult with Security and HR Recruiting to quality check onboarding connection points and resolve gaps., • Connect new hires to resources, intake requests, provide solutions and guidance, and document and communicate escalations or exceptions to leadership. Required Skills & Qualifications: • 1–3 years of experience in HR, onboarding, compliance, or administrative support in a regulated environment., • Working knowledge of Form I-9 requirements, including Sections 1 and 2, reverifications, and employment eligibility documentation., • Experience with Workday, ServiceNow, or similar HRIS and case management tools., • Strong attention to detail, accuracy, and ability to manage confidential information., • Ability to manage multiple cases simultaneously and meet SLAs with a risk-based approach to decision-making., • Exceptional communication, customer service, and problem-solving skills., • Experience with I-9 auditing, corrections, or E-Verify., • Prior experience supporting high-volume onboarding or HR operations., • Familiarity with federal employment eligibility laws and documentation standards., • HR certification (PHR, SPHR, SHRM-CP, or SHRM-SCP).
