Job DescriptionJob Title: Inventory SpecialistJob Description The Inventory Specialist performs a variety of administrative and inventory control tasks, including receiving and distributing communications, maintaining supplies and equipment, and processing purchase orders in an ERP system while providing responsive customer service. This role also manages invoice processing by receiving, verifying, and reconciling invoices to ensure accurate and timely payment. Responsibilities • Manage multiple tasks efficiently while maintaining a high level of attention to detail, particularly in handling inventory and material numbers., • Monitor and maintain adequate inventory levels by checking stock, anticipating requirements, placing and expediting orders, verifying receipts, stocking items, and delivering supplies as needed., • Serve customers by processing purchase orders, answering questions, forwarding messages, confirming customer orders, and keeping customers informed about order status., • Build and maintain trusting relationships with suppliers, customers, and colleagues to support smooth operations and effective communication., • Perform receptionist duties when needed, including answering phones and greeting visitors, and support other projects as assigned., • Enter invoices into the system for payment, apply charges to purchase orders, research and resolve any discrepancies, and route invoices for approval when required., • Maintain organized purchase order files, including acknowledgements and packing slips, to ensure accurate records and easy retrieval., • Keep the work area clean, orderly, and well-organized to support efficiency and compliance with workplace standards., • Perform other duties as assigned to support the overall efficiency and effectiveness of the department.Essential Skills, • High attention to detail and accuracy, especially when working with inventory and material numbers., • Ability to manage multiple tasks efficiently in a fast-paced environment., • At least 6+ months of administrative support or data entry experience., • Minimum 6+ months of data entry experience with proven accuracy and speed., • At least 1+ years of experience using Microsoft Excel, Word, and Outlook., • Strong customer service skills, including the ability to answer questions, forward messages, and keep customers informed., • Ability to build and maintain positive working relationships with suppliers, customers, and colleagues., • Basic understanding of purchase orders and invoice processing., • High School Diploma or GED.Additional Skills & Qualifications, • Experience working with an ERP system to process purchase orders., • Previous experience in an office, inventory, or supply chain environment., • Strong organizational skills with the ability to maintain accurate records and files., • Comfort with performing receptionist duties, such as answering phones and greeting visitors, when needed., • Ability to adapt to changing priorities and take on additional projects as assigned., • Strong written and verbal communication skills for interacting with internal and external stakeholders.Why Work Here? The work area is expected to remain clean, orderly, and well-organized to support efficiency and a professional environment. Job Type & Location This is a Contract position based out of Minneapolis, MN. Pay and Benefits The pay range for this position is $20.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
