Safe Harbor Shelter is a 90-bed congregate shelter for homeless adults. Pacific Emergency Services is a 70+ Room non-congregate Hotel Shelter Program. El Camino House is a 45+room non-congregate Hotel Shelter Program. Our clients in our programs include individuals experiencing various forms of crisis, including some of whom have substance abuse problems and/or mental illness. Shelter Resident Specialists (also known as Program Aides) are responsible for assuring delivery of excellent services, the security and safety of clients as well as safe environments including our properties, facilities and building during each assigned shift. Each Shelter Resident Specialist/Program Aide will follow a specified set of protocols to ensure all assigned tasks are completed throughout each shift. All Shelter Services employees regardless of role must have flexible schedules to support the 24/7 operations of the program- this includes Early Morning, Day, Afternoon, Evening, Swing and Grave Shifts. All Program Aides work in teams of two or more depending on shift and need. Shelter Services Activities • Perform Client Onboarding – which includes client Intakes and orientations of the program. Educate and explain to residents’ rules and procedures of the program., • Support any shelter service site and position as assigned and participate in all aspects of program delivery as requested., • Conduct hourly inspections of assigned client personal space (house, room, bed, etc.). Post status for clients. Report to staff the condition of the client’s personal space., • Maintain, store, organize and distribute supplies. Ensure adequate, labeled supplies of food, clean linens, towels, clothing, cleaning supplies, personal care/hygiene products, furniture, and equipment for clients, facility and the office. Shop for all needed food items as requested by supervisor., • Perform head counts and during Grave Shift ensure two headcounts are completed., • Assist with training, guidance and supervision of volunteers and related projects that support shelter operations., • Ensure clients adhere to Shelter Services Policies, Protocols and Regulations according to internal agency and program policies. Administer warning notices to clients as needed, • Supervise chores and clean-up, • Participate in Community Outreach as needed., • Support Case Managers with bed/room count and roll ups as needed., • Maintain and update bus tickets spreadsheet, • Ensure clean working facilities of offices, meeting rooms and kitchens., • Perform End of Shift duties including Shelter Cleanup and status updates with incoming staff before shift ends. Identify and secure, prior to doing the work, additional service fees for activities outside the Owner Agreement and any previously approved work requiring changes., • Manage overall project schedule and develop, coordinate and manage short-term schedules, next steps, and tasks with project team., • Establish and monitor discipline hour budgets and staffing needs, with assistance from the discipline leads, to meet profit goals., • Manage and monitor the gathering of owner required data., • Prepare contract forms for both owners and any consultants, and monitor adherence to those contracts., • Schedule, coordinate, and manage all required design and technical reviews through all phases of the project to meet the established policies and procedures for quality., • Manage the project team during the bidding and construction administration phase in accordance with the requirements of the Owner Agreement., • Participate in marketing efforts including client maintenance, proposals and interviews as directed by the Sector or Business Leader., • Assist the Principal-in-Charge in the post-construction evaluation process when requested., • Interact daily with Operations Leaders and Business Leaders in regard to metrics for project success, issue resolution, and strategic goals of your managed projects., • Guide and monitor A/E project teams’ use/adherence to the HED Project Design Process. SKILL, KNOWLEDGE, EDUCATION AND EXPERIENCE • Minimum ten years' post-graduate professional experience in the A/E industry required., • Minimum five years’ experience working as an A/E or Client-Side Project Manager with direct responsibility for project financial and risk management., • Experience with DSA-permitted Pre K-12 projects in California., • Bachelor's Degree in Architecture or Engineering., • Professional Licensure in California., • LEED Accreditation preferred., • Extensive knowledge of all aspects of professional A/E services from marketing through project close-out., • Demonstrated comprehensive understanding of the coordination of all design disciplines., • Strong business acumen, demonstrated in your day-to-day activities., • Strong leadership and teamwork skills, including the ability to lead, motivate, and work well with others in a design-focused environment under deadline situations., • Excellent writing, communication, and organizational skills., • Proactive, self-motivated, enthusiastic, and flexible approach., • Strategic outlook, with an eye for detail., • Computer literate., • This is a senior level position, highly visible to clients and employees, that requires maturity, assertiveness, integrity and the ability to lead, influence, and persuade. Budget Management • Collaborates with labor providers to request, review, and finalize labor quotes, time-and-materials work, and associated change orders throughout the project., • Estimates and tracks Project Management service fees., • Completes site surveys to validate conditions, field dimensions, and paths of travel, ensuring furniture can be delivered and installed as planned and fits appropriately per specifications and scope., • Coordinates field accuracy of power, data, and AV locations with associated trades., • Conducts and documents furniture inventories as required., • Performs pre-installation meetings with lead installers and designers to confirm scope, deliverables, and performance standards, including site walks as needed., • Plans and supervises logistics for product delivery and installation, including work performance, installation administration, and adherence to schedules., • Oversees jobsite conditions and installation progress, adjusting resources as needed to ensure complete, on-time, and high-quality installation and documentation.
