Job Description Firm: Thomas Kerns McKnight, LLP is a consumer rights and advocacy law firm that focuses on personal finances and the available options to help consumers navigate these difficult financial times. Objective: This is a full time and on-site position. The Administrative Assistant - Negotiations plays a key role in maintaining the accuracy and organization of the firm’s client financial records while providing administrative support to ensure efficient office operations. This role is responsible for processing bulk settlement payments across multiple client accounts, maintaining detailed financial data within spreadsheets and internal systems, and communicating regularly with external and internal departments regarding account activity. Working closely with the Negotiation Supervisor and/or attorneys, this role will help compile and organize financial account information to support settlement processing and ensure client accounts are properly documented and prepared for review. The position requires a strong attention to detail, the ability to manage large volumes of financial data, and the ability to balance administrative office duties with data-driven responsibilities. Position Summary: • Performing high-volume data entry related to client accounts, settlements, and payment activity, • Processing bulk settlement payments across multiple client accounts using Excel and internal systems, • Maintaining and updating large datasets to ensure client financial records remain accurate and organized, • Reviewing spreadsheets and account records to verify the accuracy of settlement and payment data, • Communicating frequently by phone with external and internal departments regarding account updates, documentation requests, and payment confirmations, • Maintain accurate documentation within the firm’s client management systems, • Receiving, scanning, and organizing sensitive client documents and financial information, • Performing administrative support tasks such as filing, scanning, copying, faxing, and document organization, • Attending meetings, training activities, and other work-related functions as required, • Working directly with the Negotiation Supervisor and/or attorneys, • Completing additional projects and administrative tasks as assigned by management Other Skills and Qualifications: • Ability to perform the essential functions of the job, • Strong work ethic, loyal, trustworthy, honest, team player, • Proven ability to multi-task and have regular contact with managers and employees, • Ability to maintain confidentiality of Firm and client matters, • Ability to work cooperatively with a variety of personality types, • Excellent written and verbal communication skills, • Must possess superior organizational skills, • Ability to work with minimal supervision, • Computer literate with proficiency in Microsoft Office, • High School degree Physical Demands: While performing the duties of this job, the employee is regularly required to sit, use hands to manipulate equipment, to talk and hear. The employee is occasionally required to stand, walk, reach with hands and arms, and stoop, kneel, or crouch. The employee may occasionally lift and/or move office supplies weighing up to 30 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus. Finger dexterity is required to operate a computer keyboard.
