The Specifics of the Role: • Prepares correspondence (typing)., • Readily assists with whatever is needed to accomplish the company’s objectives. This includes typing, filing, copying, binding, scanning, and whatever else is necessary. This will also include document retrieval for auditing and litigation as needed., • Retrieves, scans, transmits and electronically (or physically) distributes executed subcontracts, change orders and other documents associated with projects. Essential Functions and Responsibilities • Interviews and screens prospective residents for occupancy., • Identifies appropriate contractors, defines the scope of work, and obtains necessary bids., • Processes and monitors work orders., • Processes and submits invoices for payment., • Rent collection, receipting, prepares deposits using Onesite property management software., • Submits required reports and maintains records according to company policy., • Responsible for in-house monthly file audits., • Responsible for apartment inspections for move-in/move-out conditions (pre/post inspections) and the successful completion of the process within 24 hours of the action., • Organizes and files all relevant reports, leases, and paperwork., • Accepts service requests from residents and routes to maintenance for prompt processing., • Ensure the completion of all recertification paperwork within its required deadline., • Ensures property’s filing system is maintained daily, including applicant/resident, accounting, vendor, and contract files., • Maintains a positive customer relations attitude., • Physically inspects units and Community, • Knowledge of state and local landlord/tenant laws and applicable building codes, • Excellent communication skills in both verbal and written, • Must have strong computer experience in MS Word, Excel, and Outlook; Onesite experience a plus., • Must be thorough, reliable, responsible, honest, organized, flexible and service-oriented, • Must be knowledgeable of all phases of leasing and resident retention., • Secure lease renewals and recertifications each month., • Executes marketing and advertising campaigns for apartment leasing in conjunction with the Affirmative Fair Housing Marketing Plan., • Creates innovative marketing ideas for marketing the Community and improving resident satisfaction., • Remains current on and compliant with the policies and laws affecting the marketing and leasing community. Required Education and Experience • High school diploma/GED required or, • 2+ years’ experience in residential leasing or property management., • Excellent communication and time management skills., • Experience with Microsoft Office (Word, Excel, and PowerPoint)., • Marketing, sales, or customer service experience required., • Housing experience required, preferably affordable housing with an emphasis on the Department of Housing and Urban Development (HUD) and Low-Income Housing Tax Credit (LIHTC)., • Must be willing and able to travel. Job Description Job Summary: Under the direction of the Service Director, the Assistant Service Director is responsible for all physical aspects of the apartment community, coordinating and performing maintenance and repair services, ensuring curb appeal and quality of apartment homes, responding to customer service requests, and adhering to all safety policies. Essential Duties and Responsibilities: Maintenance Services: • Direct and oversee all aspects of maintenance of the community, • Schedule and perform preventative maintenance, inspections, nighttime lighting audits, and janitorial services, • Maintain accurate records for all services performed and contracts, • Walk the property daily to uphold curb appeal and monitor safety issue, • Schedule and coordinate apartment turns, including assistance with resident move out and apartment renovations, • Follow expense guidelines, monitor operating expenses, and make recommendations for cost saving strategies for the community, • Manage inventory and storage area, purchasing adequate maintenance materials for service requests and apartment turns, keeping an accurate log of supplies, • Communicate and advise Business Manager on recommendations for capital improvements and maintenance requirements for annual budget, • Coordinate all contracted services.
