Job Description We are looking for a dedicated Executive Assistant to join our team in San Francisco, California, within the Financial Services industry. In this Contract to permanent position, you will play a pivotal role in ensuring seamless office operations and providing high-level administrative support to the Managing Partner and the team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively. Responsibilities: • Serve as the primary receptionist, handling incoming calls and overseeing general office needs., • Manage calendars, coordinate schedules, prepare meeting materials, and arrange travel plans., • Provide administrative support to the Managing Partner, including scheduling and expense reporting., • Process expense reports using Expensify and maintain accurate records., • Ensure the office is well-stocked with supplies, groceries, and handle mailing and shipping requirements., • Organize and maintain conference rooms and common areas to uphold a detail-oriented environment., • Collaborate with IT teams and external vendors, including HR and benefits providers, to address operational needs., • Assist with Salesforce system maintenance and updates to support team operations., • Coordinate the planning and execution of firm events, including annual investor meetings., • Minimum of 2 years of experience in a similar role, providing administrative support., • Outstanding interpersonal and communication skills, both written and verbal., • Proven ability to manage diverse tasks and prioritize effectively in a fast-paced environment., • Strong organizational abilities and exceptional time management skills., • Keen attention to detail and accuracy in all responsibilities., • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel., • Experience coordinating travel arrangements and managing executive calendars., • Ability to work collaboratively with internal teams and external vendors.
