Senior PA Job Description Marcilly Recruitment is seeking an extremely high calibre Senior PA with a minimum of eight years’ experience working in a demanding, UHNW private household. The successful Senior PA will be someone who is hugely personable, charismatic, loyal, enthusiastic and capable of working in a pressurised and demanding environment with a huge workload, working efficiently with pace. They must be a strong team player with excellent communication and negotiation skills. What is paramount for the role is a good eye for detail, delivering the very highest of standards in every aspect of your work. Marcilly Recruitment’s high-profile client would like someone who has demonstrated close, long-term relationships with their previous employers. Discretion and professionalism are also key because of the close working relationship and high-profile nature of the role. There is a Junior PA in place to help with the day to day management of the residence, but the Senior PA will be responsible for overall household management and ensuring the main London residence is operating at full efficiency at all times. Delegating responsibilities as appropriate. The successful Senior PA must have strong business acumen, initiative and refined systems and processes they can bring to the role to make the family office, household and any projects run more efficiently. They are very open to people fine tuning the operations where needed and will welcome new ideas to ensure everything in this chaotic environment can run more smoothly. Salary: £85K-£125K - there is flexibility for the perfect candidate Benefits: bonus; medical; pension; 25 days holiday and lots of generous gifts Start date: flexible for the right candidate - this will not be a rushed hire Location: on site five days a week with some flexibility when the principal is travelling for business Hours: 08:30 - 17:30 / 9am - 6pm with flex around this as it can be a very demanding role This Senior PA role is working as part of a fantastic support team within the family office. They are super personable, professional and collaborative to ensure they achieve the principal's goals. Senior PA Responsibilities • Management of London residence and London household staff: Oversee daily household operations, supervise staff (housekeepers, chefs, gardeners), manage schedules, and hire and train new staff., • Maintenance and upkeep of London residence: Conduct regular inspections, arrange repairs, manage inventory, and oversee landscaping and garden maintenance sharing report with the principals regularly. Accompany and schedule all contractor/maintenance visits to London residence, ensuring protocol is met., • Manage/take care of visitors and guests to London residence. Ensure house staff are aware of arrivals/departures/requirements ahead of time., • Help to organise and coordinate events and parties at London residence., • Liaise with the Chef on daily basis to confirm menus for the principals, keeping chef & housekeepers up to speed on movements & timings., • Ensure London residence is fully prepared for family arrival - flowers, food stock, cleaning/maintenance etc – liaising with family for any special requests., • Extensive global travel planning with close attention to detail and familiar with last minute changes; arranging itineraries, accommodation, visas, private jets, yachts, ground transportation, staff etc – Travelling with principal when required (mainly school holidays), • Management of packing and unpacking for all trips the principal makes., • Management of principal’s product cupboard (makeup, beauty, supplements etc) – ensuring stock checked daily and any new products bought., • Responsible for all gifts given by the principal (including flowers), proposing gift ideas and signing off with the principal ahead of time. Responsible for wrapping/tracking and delivering of gifts – ensuring selection of cards, gifts, gift wrap/bags always stocked., • Management of Principal’s extensive wardrobe – responsible for ensuring systems and high standard of organisation is always adhered to., • Work with the EA to manage personal upkeep and wellness schedule for the principal – make sure regular facials, massages, treatments, hair, nails etc. are maintained and up to date, ensuring records are kept for invoicing purposes., • Manage weekly exercise schedule, booking classes and personal trainers., • Work closely with the EA to manage the principal’s daily, weekly, monthly and yearly calendar., • Assisting with timekeeping and anything required ahead of meetings and appointments., • Update and manage invitation list ensure and manage RSVPs accordingly., • Project management for the house and the principal’s personal life.
